Job Details

Position Title: Talent Acquisition Coordinator

Status: FT Admin Contract (12 months)

Hours: 37.5 hours per week

Faculty/Department: People(s) and Culture

Campus/Location: North campus; this position will maintain a hybrid work arrangement; candidates must be able to work on campus at least one day per week (and as required for operational needs)

Salary: $60,000 (annually)

About the Talent Acquisition Coordinator Role:

As the Talent Acquisition Coordinator, you’ll be pivotal in supporting the team by managing the entire interview scheduling process, from extending interview invites to candidates, interview coordinating and scheduling, and administering candidate skill testing. Ensuring a seamless process for candidates, recruiters, and hiring managers is your top priority. Beyond scheduling, you’ll tackle various day-to-day tasks, from supporting with candidate screenings to candidate communication, enabling the team to focus on attracting top talent. Your attention to detail and proactive approach will be crucial in maintaining efficiency and professionalism throughout the recruitment process.

Additionally, the successful incumbent will play a pivotal role in ensuring the smooth execution and management of various transformational projects within the Talent Acquisition portfolio. Your primary responsibility will be to facilitate communication, coordinate tasks, and track progress to ensure all projects stay on schedule and deliverables are met.

This role will also include:

  • Meticulously managing calendars and coordinating availability among candidates, hiring managers, and interviewers.
  • Act as the primary point of contact for candidates, providing them with essential information, such as interview details, logistics, and preparation tips.
  • Maintain an organized and up-to-date interview calendar, ensuring that all stakeholders are well-informed of interview schedules, locations, and formats.
  • Manage the collection of comprehensive interview packages from hiring managers, encompassing panel members’ interview notes, and meticulously maintain organization of all interview files within the OneDrive folder.
  • Break down project plans into actionable tasks, assign responsibilities to team members, and monitor task completion to ensure alignment with project goals.
  • Maintain project schedules, track milestones, and provide regular status updates to the Talent Acquisition team and other stakeholders.

Education

  • You have a Bachelor’s degree in Business Administration, Human Resources, or related field.

Experience/Skills:

  • You have 1-3 years’ experience in the coordination of projects coupled with talent acquisition or recruitment and selection activities.
  • Specific experience with Oracle HCM modules (Taleo and/or Oracle Recruiting Cloud) would be considered an asset.
  • You are dynamic and forward thinking with demonstrated working knowledge of employment legislation, collective agreements, and key HR functions.
  • You are not afraid to ask questions that challenge the status quo, contributing to continuous and sustainable improvements within the team or broader People(s) and Culture department.
  • Communication is your go to – you keep your peers in the know, effectively sharing information whether in writing or verbally.
  • You like to find solutions to problems even when managing competing priorities.
  • Your ability to deal with ambiguity is high and you adapt to change well.
  • You are efficient and detail oriented with a high degree of discipline when working with a sense of urgency.
  • You have a philosophy of service excellence with demonstrated client service skills, empathy, confidentiality, tact, and diplomacy.
