Job title: Administrative Assistant
Job description: The Health, Safety & Wellness Program is currently seeking a full-time, permanent Administrative Assistant to provide administrative, clerical and project coordination skills to ensure the smooth and effective operation of the Program. In this role, you will also be accountable to administer and coordinate the mask-fit testing program at CAMH and oversee and coordinate the CPR program with third party vendor. You will also be required to provide assistance on a range of confidential matters related to employee illness and injury. Responsibilities will include a number of clerical and administrative duties that include, but are not limited to: document preparation and program correspondence, responding to telephone inquiries from CAMH staff, preparation of confidential reports, data collection and entry, preparation and management of clinic charts, filing and photocopying documents, and ordering supplies. In addition, your duties will include coordinating and scheduling pre-placement health assessments and vaccination appointments to include influenza vaccines. You will schedule and offer fit testing to all staff and maintain an up-to-date database of our fit-testing program. You will also be assigned project coordination tasks associated with various projects the team is leading. A high degree of discretion and confidentiality is required. Qualifications
The successful candidate will have two years Community College or Diploma in Office Administration or a related discipline, combined with 3 years of relevant office experience. The successful candidate will also have excellent verbal and written communication skills; superior interpersonal skills and the ability to demonstrate sound judgment. The successful candidate will have excellent organization skills with attention to detail and accuracy. You have the ability to work independently with minimal supervision and prioritize your work activities while responding to multiple demands in a dynamic environment. You will understand the principles and application of confidentiality in a health care setting and have demonstrated sensitivity, skill and experience working with diverse staff groups. You have demonstrated proficiency in the use of computer software (Microsoft Word, Excel, PowerPoint and Access) along with database management and report writing. Project Coordination experience is considered an asset. The successful candidate will be required to become certified in Fit Testing and will run the fit testing program reliably and autonomously. You possess a working knowledge of the Occupational Health and Safety Act and its Regulations. An understanding of the Workplace Safety and Insurance Act, WHMIS and the Public Hospitals Act will be considered an asset. Bilingualism (French/English) or proficiency in a second language is considered an asset.
Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
Please Note: This full-time, permanent position is NOT part of any bargaining unit.
