As a Care scheduling Lead, you will play a vital role in coordinating and managing care schedules, facilitating client needs, and ensuring the smooth operation of our care services from our office, working alongside our management and assessment team.

Position Overview: As an Office-Based scheduling Lead, you will be responsible for managing the coordination of care services, ensuring the provision of exceptional care to our clients. Working from our office, you will collaborate with clients, their families, and the care team to assess their needs, develop personalised care plans, and coordinate schedules to meet those requirements. Your role will involve effective communication, scheduling, and organising care services to ensure the highest level of client satisfaction.

Key Responsibilities:

  • Coordinate and schedule care services based on client needs, ensuring appropriate staffing levels and efficient use of resources.
  • Communicate effectively with clients, their families, and the care team to ensure a clear understanding of care requirements.
  • Serve as the main point of contact for clients and their families, addressing inquiries, concerns, and providing updates on care services.
  • Collaborate with healthcare professionals, including doctors, nurses, and therapists, to ensure coordinated and integrated care.
  • Maintain accurate and up-to-date client records, including care plans, progress notes, and any changes in care requirements.
  • Utilise office software and systems to manage schedules, track client information, and generate reports.
  • Monitor and evaluate the quality of care provided, making necessary adjustments to ensure client satisfaction.
  • Provide administrative support to the care team, including managing documentation, preparing reports, and facilitating communication.
  • Stay informed about industry regulations, best practices, and emerging trends in care coordination.

Requirements:

  • Previous experience in care coordination or similar office-based role, preferably within the healthcare or home care industry.
  • Strong organisational and time management skills, with the ability to manage multiple tasks and prioritise effectively.
  • Excellent communication skills, both written and verbal, with the ability to build positive relationships with clients, families, and the care team.
  • Knowledge of care assessment and care planning processes.
  • Proficiency in using office software, including Microsoft Office and scheduling systems. Although full training is provided on our systems.
  • Empathetic nature with a genuine passion for providing high-quality care.
  • Strong problem-solving and decision-making abilities.
  • Familiarity with electronic health record systems is an advantage.

Duties:

  • Coordinate and oversee all aspects of care processes.
  • Create schedules and ensure timely completion of such schedules.
  • Collaborate with office team and manager to ensure smooth workflow and efficient rotas.
  • Conduct quality control checks to ensure we meet specifications and standards.
  • Maintain accurate documentation and records.
  • Supervise staff to ensure adherence to safety protocols and quality standards.

Requirements:

  • Proven experience as a Production Coordinator or similar role.
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficient in using production management software and tools.
  • Knowledge of safety regulations and quality processes.
  • Ability to work under pressure and meet tight deadlines.
  • Attention to detail and problem-solving abilities.
