Job description: This position provides customer service and office support functions for the organization; assisting the Executive Assistant with high level administrative tasks. This position is knowledgeable and understands the workings of the NexusBC as a whole, CONNECT and Better at Home program to the extent that they can provide preliminary information and support to those clients and programs. This position reports directly to the Office Executive Assistant.

Key Responsibilities and Duties

· Works cooperatively with other support staff to provide a welcoming environment for clients and visitors to NexusBC

· Provides main reception of telephone and drop-in inquiries including transferring calls, taking messages, scheduling appointments, doing follow up calls, and providing general information

· Performs opening and closing routine for office

· Greets and directs clients and visitors

· Keeps office facilities organized

· Assists with clerical tasks as assigned including but not limited to, photocopying, word processing and document preparation, filing, handling mail, making reminder phone calls

· Assists with administrative tasks for various NexusBC programs and projects as assigned, including but not limited to creating letters, data entry and screening of clients for correct referrals to internal programs

· Works with Connect and Better at Home staff to understand their needs, when to provide information to the client and when to refer to those programs for further assistance

· Keeps accurate records of all incoming calls and requests for services.

· Complies with NexusBC policies and procedures including the NexusBC code of ethics

· Supports the maintenance of client files and information in keeping with Personal Information Protection Act legislation

· Excellent knowledge of local resources

· High capacity to take on high level administrative tasks as well as greet clients and answer phones

· Ability to complete tasks with minimal supervision and re-direction

· Proven organizational skills, ability to attend to multiple tasks and priorities with accuracy and speed

· Ability to assist vulnerable clients with patience and empathy

· Professionalism through adherence to respectful practices and ethical behaviors

· Adheres to client privacy and confidentiality guidelines

Qualifications

· Education or work equivalent in a small business office environment

· Customer service skills

· Excellent computer skills including Microsoft Word, Excel and Power Point

· Experience accessing and working with databases

· Experience working with Internet, e-mail and social media

· Experience handling a busy environment with face-to-face interaction and incoming telephone calls on multi-line system

· Previous experience in a non-profit organization an asset.
