Our client, a company located in Toronto’s west end, Etobicoke, is looking to hire an Administrative Assistant on a 1-year contract. The selected candidate will be an energetic team player who is very professional with corporate clients as well as an aptitude to deal with financial information.
Role Responsibilities:
– Administer and process invoices, expenses and payments, allocate to cost centres, liaise with Finance on accounts payable/receivables group-wide
– Perform invoice reconciliations, data analysis
– Provide support to HR team to help onboard new hires, administrative departmental tasks (co-ordinating some travel
– Provide support to teams as directed by others on the team for various Talent Operations projects or programs
– Support operational processes relating to employee mobility (location, travel requests), these responsibilities include monitoring an inbox and processing requests
– With direction, update business rules, edit user guides and process checklists as directed for various system/processes, including training material
– Email employees (confirming arrival/return and sending attestation emails)
What you bring to the role:
– College or undergraduate degree, or 3-5 years of experience with administrative and/or coordination experience
– Financial acumen and comfort with Excel
– Highly organized, proven attention to accuracy and detail with an ability to produce high-quality work under tight timeframes
– Action-oriented, with ability to learn quickly and take on unfamiliar tasks with energy and enthusiasm
– Proven attention to accuracy and detail, and ability to maintain sensitive and highly confidential information
– Ability to work in a dynamic environment, under pressure and with time-sensitive deadlines
– Well-developed verbal and written communication skills with the ability to build relationships effectively with people at all levels
– Team player; exemplify the company’s Guiding Principles of Integrity, Partnership and High Performance
