As an important member of our in-store team, the Administrative Assistant is expected to exercise good judgment and provide exceptional customer service in a courteous and friendly manner. We are looking for someone who takes the initiative, is a stickler for details yet is also light hearted and friendly. The successful candidate must be able to work on their own and in a team environment.
Duties will include (we are looking for someone with experience in the following, please do not apply unless you have experience):
- Managing Receivables
- Managing Vendor Invoices and Inventory items
- Payroll
- Safety Administration
- Answering the phone when necessary, in a courteous and friendly manner
- Collections
- Delivering excellent customer service
- Scheduling customer appointments for tire and mechanical services
- Assisting the secretary and counter staff with duties as required
- Maintaining general office filing system
- Providing service quotes and receiving customer authorization for work to be performed on customer vehicles, finalizing sales, and completing customer follow up
- Ensuring that all products are billed accurately to the customer
What does it take to get on track?
- MUST HAVE: Administrative or accounting diploma for an accredited post secondary institution
- MUST HAVE: Previous accounting/book keeping experience
- MUST HAVE: 3+ years performing administrative support in a retail environment
- MUST HAVE: Recent payroll experience
- Automotive industry experience is preferred
- Proficiency with Microsoft Office (Word, Excel, Outlook) software required
- Experience with Microsoft Dynamics would be considered a definite asset
- Proven organizational and time management skills in order to effectively manage independent work and customer inquiries
- Excellent communication skills with the ability to develop and maintain effective relationships
