POSITION OVERVIEW:
Provide professional administrative skills and strong organizational and communication skills to support the company’s senior leadership team.

ESSENTIAL JOB DUTIES / RESPONSIBILITIES

  • Calendar management, planning and scheduling; prioritize meetings and manage scheduling conflicts
  • Email management and organization, screening, flagging, and responding when appropriate on

behalf of the Managing Director (MD)

  • Coordinate travel/hotel/car arrangements, reservations, and corporate functions
  • Prepare and submit expenses on behalf of MD
  • Database and file management for all contacts, contracts, and relevant documents
  • Maintain detailed meeting notes and follow up with appropriate stakeholders as required
  • Provide high level assistance to ad-hoc requests, projects and presentations as needed from MD
  • Compile and maintain a variety of daily, weekly, monthly and year end reports
  • Other administrative work and ad-hoc tasks as required

QUALIFICATIONS:

  • High school diploma, required
  • Bachelor’s Degree, preferred
  • Two years’ work experience in Administration, required
  • Strong organization skills
  • Professional communication skills (written and verbal)
  • Excellent spelling, punctuation/ English grammar skills
  • Strong capabilities in the MS Office Suite including Outlook, Word, Excel, PowerPoint and Teams
  • Knowledge of office equipment (fax, printer, phone)
  • High attention to detail
  • Demonstrated ability to handle confidential information
  • A flexible, adaptable approach with a high level of responsiveness to business needs

WORKING CONDITIONS:

  • Occasional travel within the GTA may be required
  • Hours may vary due to operational need
