Job description: Interested candidates are invited to apply for this full-time temporary position in a vibrant academic setting within Canada’s #1 veterinary school at the Ontario Veterinary College which is the academic home of the Doctor of Veterinary Medicine (DVM) program at the University of Guelph. The program is offered during the Fall and Winter semesters and normally requires four years to complete.

The work of OVC’s Shared Administrative Support teams is in high demand so we are looking for an individual with strengths in meeting various competing priority demands while being client focused and responsive within an environment of continuous improvement.

The Veterinary Program Assistant (VPA) plays a key role in supporting the Associate Dean [Students and Academic] in all aspects of that portfolio, including calendar management. Working with other members of the team, the VPA provides support for both the academic and student life aspects of the DVM program. The VPA is the first point of contact for DVM students seeking information or supports. The team also provides a central role in facilitating delivery of the DVM program, working in collaboration with personnel within the four academic departments of the college to provide administrative support to the many instructors that contribute to this program delivery. In addition, the team is responsible for triaging numerous organizational accounts which have been set up to handle requests for support, information, data etc. This includes maintaining comprehensive and accurate records to ensure evidence-based decision-making and tracking.

The team is responsible for the timely completion of a complex and interdependent DVM schedule covering years 1-4 of the program. The scheduling process is dependent on multiple data points including information from course coordinators, phase leaders and department chairs.

In addition, the team provides committee support to several key college committees including the DVM Program, Admissions, Curriculum, and Academic Review Committees, and manages relevant webpages including academic and other committee memberships lists and listservs. The VPA also works closely with the UG Student Accessibility Services team to support DVM students requiring accommodation and liaises closely with the Registrar’s office for a variety of reasons ranging from academic oversight to use of the Enterprise scheduling system.

Requirements of this position include: One-year of community college in a business program plus some related experience, or an equivalent combination of education and experience. In addition, the incumbent will be able to demonstrate proficiency with computers, including MS Office (Word, Excel, Access) software; and the ability to work independently and as part of a team. Excellent critical thinking and communication skills are required, as well as demonstrated high performance in a client service-oriented environment and the ability to maintain professionalism, confidentiality and security when working with private student and institutional data.
