Job description: Position Overview

The Department of Anthropology and Archaeology in the Faculty of Arts invites applications for a Administrative Assistant. This Fixed Term Part-time position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

This position reports to the Principal Investigator, who is also CIHR Canada Research Chair Tier II in Indigenous Maternal Child Wellness.

The Principal Investigator’s research team includes an Indigenous health research coordinator, undergraduate and graduate students, Elder Co-Chair and Indigenous community collaborators, organizations, community based researchers and graduate students. The research includes collaboration with local, provincial, national and international Indigenous peoples, researchers, institutions, governments and non-government organizations. This includes, but is not limited to, Indigenous peoples, communities, Bands, Nations, and organizations including the Native Women’s Association of Canada (NWAC), Pauktuutit Inuit Women’s Association, National Aboriginal Council of Midwives, First Nations Health Authority (FNHA), Public Health Agency of Canada, Indigenous Services Canada, Correctional Services of Canada and various university partners.

The administrative support staff will be responsible for assisting with the administration of Indigenous health research projects including (but not limited to) organizing meetings, agendas and travel, email and communications, budgets and reconciling accounts, and contributions to transcription of meeting minutes, interviews, filed notes and related data storage.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Support PI’s with email and responses, as well as manage their calendar and meeting requests.
  • Assists with project budget management by processing financial requisitions, tracking and projecting project expenditures
  • Manages the administration and organization of all team and/or stakeholder meetings
  • Ensures currency of all modes of communication (website, social media engagement, email list serves, online newsletters, etc)
  • General office duties include but are not limited to: answering telephone, dealing with enquires, shredding, service requests, order supplies, financial requisitions, sort mail, cash deposits, room bookings and other tasks as required.

Qualifications / Requirements:

Required:

  • Training in computer skills, including proven experience with MS Office (Word, Excel, PowerPoint) and PeopleSoft (Finance, Student Information System).
  • General knowledge of the University policies/procedures.
  • Undergraduate degree required, Graduate degree preferred
  • Minimum 2 – 4 years of related experience in a research setting supporting research activities
  • Demonstrated proficiency in budgeting, and reconciling accounts
  • Effective oral and written communication
  • Exceptional interpersonal skills, including cultural safety and competency
  • Proven ability to exercise initiative and ability to work both independently and within a team environment
  • Ability to exercise tact, discretion and confidentiality in dealing with external agencies and researchers
  • Demonstrated ability to clearly and concisely write emails, reports, letters, and other materials
  • Effective time and project management skills, including the ability to meet timelines and deadlines
  • Proven organizational skills
  • Accuracy and attention to detail
  • Ability to set priorities and deadlines

Preferred:

  • Indigenous lived experience is preferred (self-identity as Indigenous and/or experience living /working with Indigenous peoples and/or communities)
  • Knowledge of University of Calgary core business systems Knowledge Requirements
  • Extensive knowledge and understanding of Indigenous Peoples in Canada, their cultures, histories and traditions
  • Understanding and knowledge of Indigenous issues, and norms and standards relevant to promotion and protection of Indigenous women’s rights
  • Knowledge and understanding of contemporary issues facing Indigenous peoples in Canada, particularly issues surrounding infant and maternal health
  • Familiarity and experience with knowledge translation and community engagement
  • Familiarity and understanding of the social determinants of health.
