Job title: Administrative Assistant – Part-time position 4 days/week

Job description: A major health organization, with offices in downtown Montreal, and offering great opportunities for advancement, wishes to expand its administrative team.

Under the supervision of the Executive Director, the incumbent will perform various duties related to the day-to-day operations of the organization and will assume responsibility and coordination for continuing professional development activities. This position is part-time, 4 days a week.

MAIN RESPONSIBILITIES
▪ Ensure the coordination of meetings and events;
▪ Ensure the coordination of the organization’s continuing professional development activities: congresses, scientific activities, webinars;
▪ May attend various committees, take notes, write and follow up on reports;
▪ Ensure written, electronic and telephone communications with the various collaborators;
▪ Proceed to the formatting, revision and correction of documents and reports, ensure their accuracy, within the prescribed deadlines;
▪ Process postal and electronic correspondence and ensure its actions and appropriate follow-up;
▪ Ensure the updating of files and databases;
▪ Conduct information searches;
▪ Actively participate in management projects;
▪ Perform any other related functions at the request of the immediate supervisor.

JOB REQUIREMENTS
▪ Diploma of college studies in office automation or equivalent training;
▪ Minimum of 5 years of experience in a similar position;
▪ Fluency in French and good knowledge of English (oral and written);
▪ Mastery of Microsoft Office 365 suite software (Excel, Word, PowerPoint, Outlook, Teams, etc.);
▪ Good knowledge of the health network (an asset);
▪ Experience in managing continuing professional development activities (an asset);
▪ Occasional availability outside regular office hours.

▪ Good sense of communication both orally and in writing;
▪ Autonomy and sense of responsibility;
▪ Ability to manage complexity, to give meaning to orientations and actions;
▪ Judgment, flexibility, initiative and organizational skills;
▪ Ability to handle confidential and sensitive information with discretion.
