Job Outline:
The Administrative Assistant to the Physician Leadership will provide comprehensive administrative support to ensure the smooth functioning of the leadership across the health system. The Administrative Assistant will play a vital role in coordinating and managing various administrative tasks, facilitating effective communication, and ensuring the efficient operation of the leadership group. This position requires strong organizational skills, attention to detail, and the ability to problem-solve while working in a fast-paced healthcare environment.
Administrative Support to the Division Health and Medical Director of Rehabilitation Medicine Responsibilities:
- Calendar management.
- Document editing.
- Meeting coordination and scheduling.
- HBH room scheduling.
- Physiatry recruitment (i.e., document preparation, communicating with applicants, and interview coordination and preparation).
- Support in procuring office and other supplies.
- Processing of leadership and educational stipends.
- Support in creating and renewing contracts relating to MD leadership positions within the portfolio.
- Other miscellaneous administrative tasks that support the above leadership roles.
Administrative Support to the Vice President, Medical Affairs, Sinai Health Responsibilities:
- Support as required by the Board Chair of the Bridgepoint Family Health Team (scheduling meetings, minutes of Board and AGM (4 -5 evening meetings a year).
- Assistance in scheduling meetings with HBH physicians and staff.
- Assistance in booking rooms for ad hoc meetings with physicians, staff, patients, families.
- Individuals may be required to perform other duties as assigned as well as provide support to other Physician leadership, to cover absences of the other Administrative Support, providing relief, equalizing peak work periods, or balancing workloads.
Hours: Up to 24 hours per week, Monday to Friday. Due to the nature of this position, applicants must be flexible to work additional/varied hours as required
Education & Qualifications:
- Undergraduate university degree or equivalent; additional education or certification in healthcare administration is a plus.
- Proven experience as an administrative assistant or in a similar role, preferably in a healthcare, university or hospital setting.
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Excellent and professional communication skills, both written and verbal.
- Proficiency in using office productivity software (e.g., Microsoft Office suite, email, calendar management, scheduling apps and cloud drives).
- Strong attention to detail and accuracy in data entry, documentation, and record-keeping.
- Ability to work independently with minimal supervision and as part of a team.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
