Job description: We are currently supporting one of our clients, a transport company, in their search for an administrative assistant for a period of 4 to 6 months.
Based in Ville St-Laurent, here are your future responsibilities:
- Management of Supplier Invoices:
o Verification and approval of invoices (less than $2000)
o Validation of amounts with the services received
o Management of problem invoices
- Re-invoicing of Customers and Valets:
o Re-invoicing of costs related to services
o Reconciliation of costs with customer contracts
- Accounting for Mechanics’ Hours Worked and Tool Budget
- Work Order Management:
o Entering KM/hours
o Parts and PO management
- Production and Management of Inspection Lists
- Creation and Maintenance of Vehicle Physical and Computer Files
- Vehicle Management in AS-400
- Maintaining the “Road Services” Book
- Production of Fuel Reports for Rented Units
- Production of Equipment Sales Invoices
- Vehicle License Management:
o Order PEP stickers and other permits
o Management of permits for the transport of goods
o Compilation of data for IFTA reports
o Preparation of documents for the carbon tax
o Management of vehicle registrations
- Annual monitoring of Mechanics’ PEP Cards
