Our Ottawa office is currently recruiting for an Administrative Coordinator to join our Trademarks Team. In this role you will work with a dynamic team to provide operational support for our Trademark agents and lawyers.
Given the pandemic, it is expected that the successful candidate will work from home until our offices have re-opened.
Responsibilities:
- Preparation of reminder letters to clients, paying of renewal fees and filing classification requests
- Monitoring and responding to deadlines, and other time sensitive matters
- General administrative duties including time entry, preparation of billings and file management
- Responding to clients, CIPO and other parties
- Organizing and maintaining daily calendar of tasks
- Creating tasks in our electronic task management software
- Directing inquiries and incoming e-mails to relevant parties, if needed
- Other duties may be assigned or amended as required.
Qualifications, competencies and experience:
- Some post-secondary education
- 2 plus years of administrative experience in a professional services environment. Previous experience in legal area or intellectual property will be considered an asset
- Familiarity with Trademark filing practices and procedures
- Excellent interpersonal and communication skills, including the ability to deal directly with clients and all levels of staff. This role is English essential, but French language skills would be an asset.
- A great team player with the ability to prioritize a large workload
- Excellent attention to detail, highly organized and proactive
- Highly proficient in MS Office and ability to learn new software and technology quickly
