Job Overview: As a key member of Rokform’s dynamic team, you will provide Administrative, Bookkeeping and Project Management assistance to department Managers and Leaders. You will often be the first point of contact for all clients, providing exceptional customer service.

Duties and Responsibilities

  • Answer incoming calls & e-mails in a friendly and professional manner; addressing customer needs directly and/or referring calls to the appropriate manager.
  • Schedule customer estimates, jobs and meetings, ensuring all parties are well informed and available
  • Work with field staff to monitor and manage daily time sheets; ensuring they are completed with accuracy.
  • Responsible for providing administrative support including composition of routine correspondence, photocopying, scanning, and preparation of written materials
  • General A/P and A/R bookkeeping data entry
  • Accept payments and issue receipts
  • Creating and maintaining customer accounts and files
  • Creating and maintaining accurate and complete job file information
  • Assist project Managers with the creation of quotes, estimates, work orders and job costing analysis
  • Responsible for keeping common areas tidy and supplies stocked
  • Other misc. admin duties/projects as assigned

Education and Experience

  • 2 yr Business Diploma and or an equivalent combination of education and experience (Preferred)
  • 1+ years of experience in an administrative and bookkeeping role
  • Strong computer skills including Microsoft Office suite (Outlook, Word, Excel) and the ability to type 50+ words per minute accurately
  • Enjoys customer service and has a professional phone demeanor
  • Strong administrative and clerical skills
  • Knowledge of Sage Accounting is beneficial
  • Experience working in the construction industry is beneficial
