Reporting to the Senior Provincial Director (SPD) of the Medicine Strategic Clinical Network (MSCN), the position is responsible for providing complex secretarial and administrative support to the Senior Medical Director (SMD) of the MSCN and the projects and working groups where the SMD has leadership responsibilities. As capacity allows, administrative support may also be provided to others in the MSCN leadership team. The Administrative Support needs to be highly organized and demonstrate strong attention to detail. They are expected to independently manage a high-volume workload with competing priorities. This is a dynamic position where you are an integral part of a provincial team and participate in the achievement and success of the MSCN program.

Description:

The Administrative Assistant reports directly to the Senior Provincial Director (SPD) of the Medicine Strategic Clinical Network (MSCN) and provides high level and comprehensive administrative support to the Senior Medical Director (SMD) of the MSCN. This position has a strong understanding of the strategic direction of the MSCN. The primary roles include: Provides guidance, identifies areas of improvement and anticipates the needs of the MSCN to the SMD. Books meetings and events for the SMD and supports projects where the SMD has a major leadership role. Relieves the SMD of tasks within established limits (e.g. prioritizing, intercepting and redirecting or responding to inquiries by email/phone/in person; following up on information requests and action items to ensure successful completion). Utilizes available technology to optimize team functioning, such as using computer applications to set up functions, enter data, track activity and process information. Assesses emerging issues to determine whether other stakeholders would need to be alerted and involved, makes note of influences and urgency level, and follows-up on assessment and potential escalation or resolution. Establishes and maintains interpersonal relationships. Organizes, plans, and prioritizes work. Communicates with persons outside the MSCN: represents the MSCN to customers, the public, and other external sources. Communication occurs in person, in writing or email, or virtually by telephone, Skype or Zoom. Documents/records information: enters, transcribes, records, stores, or maintains information in written or electronic form. Works collaboratively with other administrative staff of the MSCN and other SCNs. Encourages and builds mutual trust, respect, and cooperation among team members.

Required Qualifications:

Two-year Office Administration or Business Administration diploma and Medical Terminology are required, a combination of equivalent experience and education may also be considered. Ideally the candidate will have experience in an acute care health setting. Three to six years of demonstrated practical and diversified experience is requisite.
Additional Required Qualifications:

Highly proficient with technology. Advanced knowledge and skills in using Microsoft Office Suite of products, in particular extensive expertise in the use of MS Excel, Outlook, Word, Access, Visio, Power Point and survey applications. AHS experience and familiarity with corporate processes and polices is an asset (including on-boarding and off-boarding of employees, the use of e-Manager, ESP, e-People, MS Publisher, SafetyNet etc.) Self-directed individual with strong interpersonal skills in dealing with all levels of team members and the public is a must. Willing and able to adapt to new situations and continuous change. Flexibility and team approach are essential. Attention to detail and accuracy, with an ability to handle multiple tasks. Ability to communicate effectively both verbally and in writing. Proven ability to work independently and to multi-task effectively in a fast-paced team environment. Ability to maintain confidentiality and tact at all times.
