Job description: Your Opportunity:
The Academic Medicine and Health Services Program, at the University of Alberta Hospital, invites applicants for a Full-Time Administrative Support IV – Medical Secretary. As a Medical Secretary, you will often be the first point of contact and are required to organize and coordinate outpatient clinics for assigned Physicians within the Academic Medicine and Health Services Program (AMHSP). Your role in providing clinical secretarial support is important in ensuring the efficient and effective operation of the respective physicians’ offices. Tasks may include prioritizing and coordinating daily schedules, reviewing requests, and scheduling clinical appointments and meetings. Reporting directly to the Clinical Services Team Administrator (CSTA), the Medical Secretary provides clinical secretarial support exercising decision-making with minimal supervision and direction from medical staff. A variability of each medical staff’s activities will require a wide range of skills from the medical secretary to support them. Key behaviours and skills required are multitasking, time management, organization, critical thinking, initiative and problem-solving skills. Professionalism will be important when representing the AHS Physician or department to internal and external stakeholders. Lastly, the successful Medical Secretary will work in a fast-paced environment with changing priorities. Working within a team environment the Medical Secretary must understand the purpose and goals of the team and have the ability to bring forward ideas to assist the team.

Required Qualifications:
Completion of post-secondary education (e.g. course(s) in business administration, medical office assistant), or other related fields. Additional Required Qualifications:
Knowledge of medical terminology is required. Minimum of 1-year experience in an administrative role within a healthcare environment working with physicians. Knowledge and operation of Microsoft Outlook, Word and Excel. Training and experience with Connect Care, eClinician EMR, or other electronic medical records, NetCare, Dragon, eScription or other healthcare programs. Familiarity with FOIP and the Health Information Act. Preferred Qualifications:
Previous experience working as a medical office assistant/secretary. Training and experience with Connect Care, eClinician EMR, or other healthcare programs. Clinical scheduling is an asset. Ability to manage patient records with confidentiality and accuracy with an ability to identify discrepancies. Excellent verbal and written communication skills. Able to critically think with demonstrated problem solving within complex issues. Able to work independently in a fast paced changing environment.
