Job description: The Administrative Support Officer is the first point of contact for Magna School for the Skilled Trades within the Faculty of Applied Science & Technology. Reporting to the Associate Dean, the incumbent provides front line administrative, organizational and clerical support to students, faculty, and staff for the day-to-day operations and special activities within the School. The Administrative Support Officer plays an important role in planning, decision-making, and organizational processes. The incumbent ensures accuracy of program and student information, and provides and important link with agencies, organizations and individuals, both internal and external to Sheridan. The incumbent helps organize and co-ordinate School projects, and special events.
What You’ll Be Doing
- Responding to phone, in-person and email inquiries and directing students and visitors to appropriate people and offices (i.e. One Card office, OTR, International Office, Coop Office, Counselling Office, Student Advisement Office, etc.);
- Managing and producing reports using PeopleSoft, DCU and Enterprise;
- Preparing, editing, and proofing correspondence, invoices, presentations, reports, and related materials;
- Distributing and processing mail and co-ordinating activities to support operational flow of business;
- Scheduling, booking rooms, confirming appointments and meetings for the Associate Dean, Program Coordinators, and other Faculty/Staff as requested;
- Setting up and maintaining manual and computerized information filing systems;
- Ordering and maintaining office supplies, including supplies for pre-apprenticeship programs;
- Coordinating with the OTR to prepare on-boarding documents for apprenticeship programs;
- Recording minutes for school meetings;
- Fulfilling print centre requests for purposes such as program maps and cell sheets for open house, awards and other ceremonies, etc.;
- Compiling and organizing reports and records for accreditation;
- Performing other related duties as assigned.
About You
You have excellent oral and written communication skills.
You enjoy balancing many different tasks and can prioritize multiple projects while staying organized and maintaining a high level of attention to detail.
You use your interpersonal skills to build working relationships and provide excellent customer service.
The successful candidate(s) will also meet the following:
- 2-year diploma in Social Sciences, Business Administration, Business, Public Relations, or a related field, along with a minimum of 1-year practical experience in an educational, customer service or business environment. (equivalency will be considered).
- Knowledge of PeopleSoft is considered an asset.
- Knowledge of Microsoft Office Suite: Excel, Outlook, Word.
