JLL est actuellement à la recherche d’une personne dynamique pour le poste de coordonnateur administratif d’offrir un soutien fiable, opportun et efficace à une équipe de courtage de notre emplacement de St-Laurent. Le/La titulaire du poste travaillera avec un groupe de divers intervenants internes et externes à tous les niveaux de l’organisation, et fera preuve de jugement pour planifier, prioriser et organiser différentes taches de travaildans un environnement dynamique. Le/La titulaire de ce poste fournira une grande variété de services de soutien à l’équipe de courtage, et le/la candidat(e) retenu(e) devra être minutieux(se), posséder de solides compétences organisationnelles et avoir un bon esprit d’équipe.

Responsabilités :

  • Préparer les envois postaux
  • Coordonner et organiser des séances photo, des réunions et des conférences téléphoniques
  • Créer des esquisses pour de panneaux d’affichage pour les propriétés, commander et assurer la liaison avec le courtier et le fournisseur, ainsi que des suivis
  • Tenir à jour des registres Excel
  • Gérer l’impression des livrables marketing au besoin
  • Répondre aux appels téléphoniques concernant les demandes d’inscription
  • Assurer la liaison avec les fournisseurs et les techniciens sur divers équipements de bureau
  • Commander des fournitures de bureau
  • Assurer la liaison avec le soutien des TI au besoin
  • Assurer la liaison avec le directeur de l’immeuble pour toute demande d’immeuble (problèmes de chaleur, dommages, etc.)
  • Création/gestion des cartes d’accès

Collaborer avec divers fournisseurs pour organiser l’impression de documents et autres documents de marketing, et demander des devis à divers fournisseurs, au besoin.

Gérer les abonnements aux courriels au travers de la plateforme de courriel

Participer à la création et au design de contenue marketing unique et mémorable (présentations, CIM, rapports, brochures, cartographie et présentations).

Qualifications

  • Études postsecondaires
  • 1-2 ans d’expérience pertinente en bureau ou une combinaison d’études et d’expérience
  • Compréhension de base d’Adobe Creative Suite (en particulier InDesign, Illustrator et Photoshop).
  • Solide compréhension et maîtrise de Microsoft Office (Word, Excel, PowerPoint).
  • Capacité de communiquer clairement (verbalement et par écrit) et efficacement pour les activités commerciales.
  • Possède un mélange de vision créative, de compétences techniques, d’expérience pratique et de connaissances stratégiques.

JLL is currently seeking a dynamic individual for the role of an Administrative Coordinator to provide reliable, timely, efficient support to a brokerage team at our Montreal Suburban location (Ville Saint-Laurent). The position entails working with a diverse group of internal and external Stakeholders at all levels of the organization, and the individual will require the independent judgment to plan, prioritize, and organize a diverse workload in a fast-paced environment. This role provides a wide variety of support services to the brokerage team and the successful candidate will be detail oriented with strong organizational skills and a team player attitude.

Responsibilities:

Assist Marketing Associate in the editing and preparation of various marketing materials (Pitches, presentations, reports)

Assist Marketing Associate with various tasks relating to different social media platforms

Create email campaigns through an email platform and manage the distribution of e-blasts and provide reports when requested and manage email subscriptions

Upload property listings on various online sites

Assist with event planning

Collaborate with printers and a variety of vendors to arrange printed materials and other marketing collateral as well as inquire quotes with various vendors and suppliers when needed

Prepare mailings and postal drops

Schedule courier requests and daily mail

Coordinate and organize photoshoots, meetings, conference calls

Create sign installation mockups, order and liaise with broker and supplier along with follow ups

Update and maintain variant registries (excel)

Printing and book binding all marketing deliverables when needed

Answer phone calls with regards to listing inquiries

Liaise with suppliers / technicians on various office equipment (stamp machine, printer, etc.)

Order office supplies

Liaise with IT support when needed

Liaise with Building manager for any building request (Ac / heat problems, damages, etc)

Creation / manage of access key cards

Qualifications

Post-secondary education

1 to 2+ years of relevant office experience or a combination of education and experience

Strong understanding and proficiency of Microsoft Office (Word, Excel, PowerPoint,).

Ability to communicate clearly (verbal and written) and effectively for business pursuits.

Strong organization and time management skills to track data/information, update templates, standards, and materials.

Work effectively within a team environment, yet able to take initiative and work independently.

Enjoys learning and is adaptable to various tasks.
