Job description: As the Customer Service Administrative Assistant, you provide administrative support by serving as the primary point of contact for internal and external queries received through our reception desk, our retail store and periodically assisting on our order desk. We are looking for a candidate who believes in superior customer service, is a team player, detail oriented, reliable with comfortable working as part of a larger team while sometimes alone. This job requires someone who can multitask and can wear a number of hats; from running the reception desk most days while also working on our inside sales/order desk a couple of days a week and as backup relief. This position is reliant on exceptional organization and interpersonal skills to manage the required. Working with a limited degree of supervision this role provides a full range of reasonably complex administrative duties. This role is based at Office & Brewery location in SE Calgary. This position if a 12-month Maternity leave coverage.
RESPONSIBILITIES
- Manage incoming and outgoing mail and couriers, greeting visitors and guests, answering, screening and directing inbound telephone calls, ordering and managing office supplies triage of general email inquiries on a prioritized basis, office administration and dealing with office service contractors to ensure effective corporate office operations.
- Provide peak time support for the Order Desk regularly on specified days of the week.
- Provide back up support for the Order Desk as needed during busy times, employee shortages, vacations, etc.
- Assisting multiple team members in a professional, fast paced and deadline driven environment, proactively co-ordinate administrative requirements through the application of strong organizational skills, including anticipating the team members needs and makes decisions to contribute to an organized work environment.
- Liaises with internal and external contacts/clients/stakeholders, independently determining the nature of the inquiry, probing to understand the purpose, and providing the appropriate response.
- Liaise and problem solve with all corporate office vendors and suppliers including security, cleaners, recycler/shredding and other suppliers to ensure high service standards are being met.
- Ensure employee kitchen area in cleaned nightly; rinsing out coffee pots, running dishwasher and wiping down countertop.
- Prepares, edits and formats various documents, reports, spreadsheets and/or presentations.
- Develops, edits and formats various documents, reports, spreadsheets and/or presentations.
- May assist in research and writing for various reports and presentations.
- Performs other related duties as required.
Qualifications
- Minimum of two (2) years progressively responsible administrative experience.
- Computer competent with demonstrated ability in the use MS Office.
- Experience with ERP and /or CRM systems an asset.
- Strong interpersonal and communication skills.
- Proven ability to work effectively within a team environment. Ability to organize and prioritize activities to meet deadlines.
- Grade 12 supplemented by an administrative and or customer service experience. Combination of skills and experience resulting in the required knowledge, skills and abilities will be considered.
- Intermediate level knowledge of common industry software such as Microsoft Office (Word, Excel, Outlook, PowerPoint, SharePoint), Adobe Acrobat (Standard or Professional).
- Ability to work within tight timelines to meet deadlines, reassessing priorities as needed.
- Strong organizational skills.
- Demonstrated ability to deal effectively with a variety of internal and external customers and contacts.
- Knowledge and ability in administration processes and practices including a high level of attention to detail.
