Job description: Customer Service Representative – Coquitlam

Salary: $60,000 – $65,000Location: Coquitlam, BC

Job Summary:

This is a full-time office-based position responsible for providing excellent customer service to both outside customers and inside sales representatives. The successful candidate will be expected to perform administrative and logical tasks to ensure proper setup and accurate billing of all projects.

Must Have:

  • 2-year diploma/degree or equivalent work experience.
  • Min. 1 year of experience in a customer service role.
  • Computer literacy and proficiency with MS Office Suite (Excel, Word, Outlook)

Nice to have:

  • Knowledge and experience in the construction industry.
  • Experience using ERP software such as J&E and ProField.

Responsibilities:

  • Guarantees proper invoicing of all projects.
  • Be a partner to the Sales Representatives to provide good customer service and meet sales goals.
  • Coordinate with Operations to meet the customer’s needs and organizational procedures.
  • Detects and implements adjustments to improve client satisfaction.
  • Provide customers with administrative information regarding equipment movement.
  • Invoice clarification
  • Coordinate with sales regarding customer complaints and customer satisfaction.
  • Ensure all new project information is received- signed contract, proper JIS form, and any other information needed.
  • Create new project in J&E and ProField and obtain new job.
  • Enter orders in system for deliveries for projects.
  • Provide Collector will all pre-lien information for all new projects.
  • Run billing due list to obtain weekly job billing requirements.
  • Provide sales representatives job information needed to create rental billing – site inventory reports, item movement reports, delivery and return documentation, and Schedule of Values for jobs.
  • Invoice projects according to sales instructions
  • Invoice freight and engineering as required.
  • Invoice job closeouts and damages as needed.
  • Fill out Billing timeliness report when needed.
  • Create credit memo workflows when needed for any overbilling to customers – upon approval create credit memo invoice for customers.
  • Populate end of day revenue report.
  • Collaborate and communicate internally with Finance Manager, Branch Manager, Credit & Collections and Operations.
  • Manage external relationships with customers, carriers, and suppliers.
