Key Responsibilities

Administration:

  • Accurately track and record equipment hours from fuel sheets each day.
  • Complete service request forms to schedule servicing for equipment every 250 hours or when needed.
  • Contact parts suppliers, draft purchase orders and track part deliveries, ensuring the timely and accurate delivery of all parts needed for service and/or inventory.
  • Collect employee time sheets daily and enter employee time into HeavyJob, charging time to any and all serviced unites. Ensure expedient delivery of employee time sheets or applicable reports to the Payroll department.
  • Using JD Edwards and other software systems, code and data enter invoices for payment.
  • Receive, review and charge invoices to specific units and coding.
  • Monitor and report on equipment fuel usage, and enter summaries of usage into HeavyJob.
  • Issue purchase orders to drivers, for oil change services, ensuring the timely collection of invoices and packing slips.
  • Perform various data entry duties, and update and maintain an active parts list.
  • Maintain accurate filing records in an organized manner.
  • Must ensure a solid understanding of, and comply with the principles of the company’s Code of Ethics.
  • Must examine situations in light of the principles of the Code of Ethics.
  • Other Administration duties as required.

  • Promote, execute and adhere to the company’s safety program, and encourage all employees, sub-contractors and consultants to adopt safety as a culture.
  • Work in a safe, responsible manner to not intentionally injure oneself, or endanger the wellbeing of others.
  • Participate as an integral member of the team, and contribute towards the success of the organization, which may involve the provision of other technical and administrative support, as required.
  • Collaborate with any project teams on other special initiatives, as required.

Profile

Education, Training and Certifications

  • Minimum, High School Diploma or G.E.D.
  • Post-secondary graduate, with a concentration in Administration or related program, from a recognized institution would be considered an asset.

Work Experience

  • Minimum 1 year experience in Administration or other clerical position.

Technical Knowledge

  • Basic knowledge of computers and computer software, such as Microsoft Word, Excel, PowerPoint and Outlook.
  • Basic knowledge of office equipment, such as fax machine, computer, photocopier, or other related office equipment.

Working Conditions

  • Overtime as required.
  • In town work, limited to no travel.
  • Work is performed in an indoor setting and may include a combination of standing, sitting and walking. Sitting for extended periods of time is required.
  • Office is located above equipment shop. This will include exposure to dust, smoke, fumes, odors, grease, oil, noise, machinery (with moving parts), and other hazards.
  • Must be physically able to repetitively lift and carry at least 10 lbs. on a regular basis.
  • Manual dexterity required to use computer and peripherals.
