Your opportunity:
Reporting to the Assistant Dean, Advancement and working as a member of the Advancement team, the Events and Special Projects Coordinator plays a major role in delivering high quality events and activities in celebration of the Faculty of Law’s 75th Anniversary.
The incumbent works closely with partners across the Faculty to analyze their needs, discuss outcomes and develop event proposals to achieve objectives. The incumbent effectively communicates event concepts and objectives through the development of guest experience decks to pitch event ideas and venue proposals that are responsive to the needs of Faculty. The incumbent will be responsible for managing the 75th anniversary committee and preparing detailed event materials and briefing senior Faculty leadership and alumni volunteers on their role in the event.
Your responsibilities will include:
- Analyzing client needs and making recommendations on event logistics and options
- Preparing itineraries
- Booking speakers for program events
- Building and strengthening relationships with stakeholders and partners of strategic importance
- Providing detailed instruction on development of event promotional materials
- Liaising with communications staff to coordinate marketing activities for events
Essential Qualifications:
- Bachelor’s Degree or acceptable combination of equivalent education and experience.
- Minimum five years of recent events planning experience, organizing and executing small to large scale events and outreach activities for in-person and virtual formats, preferably in a University setting.
- Demonstrated experience analyzing client needs and making recommendations on event logistics and options.
- Experience includes demonstrated success in professionally executed events involving multiple stakeholders, and maintaining relationships with stakeholders and vendors.
- Experience working with fundraising and/or alumni relations in post secondary institutions.
- Demonstrated experience with event coordination for a high volume of events, meetings, and room bookings.
- Experience writing and editing promotional copy for websites, social media, and print materials.
- Demonstrated experience developing and organizing the logistics of numerous/multi-day events within tight and conflicting timeframes.
- Demonstrated experience handling expenses for events and monitoring accounts for project/program.
- Experience developing survey and reporting tools to evaluate program and event success.
- Demonstrated strong customer service skills and meticulous attention to detail.
- Advanced Microsoft Office skills including Word, PowerPoint, Excel, Outlook, as well as proficiency in using database software (eg. ARBOR or Raiser’s Edge system, or comparable system), and social media platforms (eg. Facebook, Twitter and Instagram).
- Working knowledge of design software e.g. Adobe, Canva and Publisher.
- Excellent interpersonal and communication skills (both written and verbal).
- Ability to meet deadlines while working in an environment with frequent interruptions.
- Ability to exercise tact, good judgment and discretion.
- Demonstrated initiative and ability to work well independently as well as a member of a team.
- Demonstrated ability to prioritize tasks and effective time management skills.
- Must be able to work occasional weekends.

USW Pay Band 12 — $78,308 with an annual step progression to a maximum of $100,144. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
