Job summary:

Reporting to the Senior Vice President and Chief Human Resources Officer (SVP/CHRO), the incumbent will be responsible for executive administrative support for the SVP/CHRO and for coordination of certain activities of the extended HR team.

Key Responsibilities for support of the SVP/CHRO:

Prioritize and manage day to day activities: calendar, emails, phone calls, guests, commitments, appointments etc.;

Act as a point of contact among executives, employees and external partners;

Make travel and accommodation arrangements;

Coordinate executive and management meetings and all elements related to room bookings, required equipment and catering services;

Assist in the preparation, final formatting and proofreading of reports and briefing documents in a variety of formats (Google Slide, Google Doc, Google Sheet, etc.);

Assist in the preparation of documents related to Human Resources Committee and Board of Director Meetings;

Collect and report selected HR KPIs on a quarterly basis;

Prepare expense reports;

Prepare communications destined for Senior Management team/HR team and/or employees on behalf of the SVP/CHRO;

Manage the approval and payment of invoices and track budgets;

Manage information flow in a timely and accurate manner;

Manage supply orders and mail

Provide assistance on ad-hoc business requests as needed;

Collaborate with other executive assistants and participate in common tasks;

Replace the receptionist on a rotation and on an as-needed basis.

Key Responsibilities for support of the extended HR team:

Within the Compensation and Benefits Team – assist with executive compensation. This includes preparation of annual salary review letters and LTIP grant letters, creation of executive profiles on Shareworks platform and other tasks related to executive compensation, as required;

Assist the VP and/or Directors and staff, Compensation and Benefits with administrative tasks such as: coordination of meetings, preparation of expense reports, proof-reading documents, analysis of vacation entitlement and other projects, as required;

Support roles in Workday for Corporate team and for Elite General Partnership;

Coordinate posting of HR policies on company intranet and coordinate updating of policies as required;

Assist the Director, Diversity, Inclusion and Belonging in her tasks: preparation of presentations, invoicing, meeting scheduling and provide administrative assistance, as required.

Other dutes:

Handle translation requests;

Assign office spaces at 1 PVM;

Participate in the committee put in place as a requirement of l’Office de la langue française.

Academic training:

College diploma in office automation, administration or any other related discipline.

Work experience:

Cumulated ten years in similar functions in a large company;

Experience in working in a C-suite environment.

Key skills:

Excellent command of French and English, both oral and written;

Excellent knowledge of Microsoft Office / Google Suite and ability to learn new software;

Demonstrates a good sense of collaboration and customer service both internally and externally;

Demonstrates discretion in handling confidential and sensitive information and tact in interpersonal communications;

Demonstrates a good ability to work with minimal supervision;

Very good ability to plan priorities;

Very good ability to juggle several files at the same time;

Great thoroughness in completing tasks.
