Ashcor is building a dynamic team to support its growth.
We are looking for an Executive Assistant to join us in the exciting work we do in Ashcor. Reporting to the President, Aschor, it’ll be your responsibility to effectively manage Ashcor’s day-to-day administrative requirements independently and through the application of sound knowledge of the business, strong technical skills and good judgment. In this position, you also get to provide administrative support to other members of the Ashcor team, contributing to the general efficiency of the company.
- Executive Assistant
- Proactively co-ordinates the President’s day-to-day administrative requirements by managing the daily calendar, mails/e-mails and telephone messages, as well as maintain hard/soft copies of reports and files through the application of strong organizational skills and confidentiality management.
- Refer general inquiries from internal and external parties at all levels utilizing a strong understanding of the President’s and company’s priorities.
- Schedule meetings and make the necessary preparations such as booking and preparing meeting rooms, meeting material preparation, ordering refreshments and/or meals, and travel.
- Prepare expense reports in a timely basis.
- Anticipate the President’s needs and make confident decisions to contribute to an organized work environment.
- Establish and maintain positive and productive working relationships with internal and external parties as well as manage these relationships in a manner that facilitates a positive corporate image, builds morale and supports co-operation.
- Provide leadership, assistance, guidance and cover off support to other administrative staff as required.
- Team Administrative Support
- Provide administrative support to the office of ASHCOR, including:
- Consolidate information and prepare correspondence, reports and presentations through the application of well-developed skills in Adobe, Excel, PowerPoint, and Word.
- Manage general phone line, email inbox, and virtual PO box.
- Coordinate physical mail, couriers, office supplies, and office resources.
- Maintain company contracts, schedules, records and filings, both physical and electronic.
- Support hiring managers with new hire orientation and system setups.
- Support escalation of IT help desk tickets.
- Complete travel arrangements, event and conference registrations.
- Participate and assist in the coordination and execution of events and meetings.
- Procure gifts and promotional materials.
- Maintain a close and highly responsive relationship to the day-to-day activities of ASHCOR. Work includes varied duties requiring knowledge of office routine and a thorough understanding of company procedures.
- Ashcor Timekeeper
- Maintain accurate team timekeeper records in Kronos Workforce Dimensions.
- Maintain accurate project allocation schedules.
- Assist team with vacation, sick days, flex day reporting.
Who You Are:
- Minimum of a post-secondary education in Business Administration
- Minimum of 7 – 10 years’ experience in a senior support role
- Extensive experience in performing administrative functions for senior levels
- Ability to use discretion and good judgment in handling highly sensitive and confidential information
- Leadership (formal or informal) experience would be an asset
- Advanced professional interpersonal skills for interacting effectively with all levels within the company, as well as with outside customers
- Exceptional organizational, written and verbal communication skills
- Conscientious self-starter who enjoys working in a team environment, needs minimum supervision, and can function effectively in a fast-paced environment
- Strong ability to prioritize workload under pressure
- High level proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
- Flexible and thrives in a fast-paced environment
This position will be located at the ATCO Park Campus in Calgary, AB
