The Alberta Crown Prosecution Service (ACPS) prosecutes persons charged with Criminal Code, Youth Criminal Justice Act, and provincial statute offences. The ACPS promotes safe communities by vigorously prosecuting cases involving serious and violent crime and working with individuals and organizations in the community to identify and implement improved and alternative approaches to the administration of criminal justice. In addition, the ACPS develops criminal law policy for the province and supports criminal law consultation with other levels of government.

Role Responsibilities

Reporting to the Chief Prosecutor, Operations and Strategic Support Office, ACPS, the Executive Assistant to the Chief Prosecutor works independently and is responsible for directly assisting and providing senior, high-level support to the Chief Prosecutor in its leadership and management duties.

As the Executive Assistant you will:

  • Support and coordinate office operations
  • Manage day-to-day activities, administrative priorities, and coordinate resources effectively and efficiently
  • Prepares general and complex correspondence, e.g. Action Request Tracking System (ARTS), Briefing Notes and letters for signature by the Chief Prosecutor
  • Provide support to Project, Senior and General Counsel and other Branch staff as required
  • Schedule appointments for the Chief Prosecutor and Branch staff and coordinate all logistics required.
  • Manage and effectively maintain schedule for the Chief Prosecutor
  • Manage the Chief Prosecutor’s emails during their extended absences effectively and efficiently
  • Maintains files for regularly scheduled and ad hoc meetings so that all necessary documentation is on file and up to date
  • Coordinate travel and accommodation requirements and expense claims for the Chief Prosecutor and Branch staff as required.
  • Maintain a record system to ensure regular follow up on tasks completion assigned by the Chief Prosecutor to other members of the Branch and senior management is conducted
  • Manage an electronic filing system to support the work of the Chief Prosecutor and the Branch
  • Prepare appropriate Sex Offender Information Registration Act (SOIRA) and DNA forms/packages related to foreign convictions as required
  • Liaise with JSG FOIP Branch about ongoing requests and arrange for records to be sent to their office as required

Also as the Ideal candidate you will possess:

  • A comprehensive understanding of the Justice system and processes
  • Proficiency in Microsoft Office Suite, Arts and 1GX.
  • Experience working with JOIN, PRISM and OSSI
  • Understand the government approval processes for action request and decision documents.
  • Exceptional organizational ability and attention to detail
  • Problem solving skills
  • The ability to work independently and in a team
  • Excellent oraland written communication skills as well as strong problem solving skills.

Qualifications

Two-year diploma in a related field such as a Legal Assistant, Paralegal or Criminology, plus a minimum of one year progressively responsible related experience working in a legal administrative role within an office setting.

Directly related education or experience considered on the basis of:

  • 1 year of education for 1 year of experience
  • 1 year of experience for 1 year of education

Required

  • Experience working with Microsoft Office (Word, Excel, Powerpoint, Outlook).

Assets

  • Experience working with Adobe, JOIN, PRISM
