Position Overview

Directly accountable to the Manager of Health Information Services, the Health Information Services Clerk serves as primary contact person for Health Information Services. Provides clerical support in the area of health records, including the creation, preparation, dispatch and filing of a health record in accordance with departmental procedure. Assembles, processes, files and retrieves health records in accordance with departmental procedure. Maintains departmental stationery stores and supplies, ordering new stock in accordance with departmental procedure. Corresponds with the Medical Examiner, Vital Statistics, Funeral Homes and Physicians for all deceased patient/residents and ensures all informational needs are met.

Performs all duties in accordance with established health and safety regulations/guidelines, policies and procedures (e.g. utilizing personal, protective equipment as per safe work procedures). Notifies their Manager or their designate (i.e. supervisors) of all occurrences, injuries illnesses or safety and health concerns which are likely to harm themselves, their co-workers, or any others who enter the premises.

Experience

  • Recent related office experience required, specifically in a Health Information Services environment, with a working knowledge of current health information systems.
  • Experience in performing a wide variety of secretarial and clerical duties.
  • Experience in problem-solving.
  • Experience serving the information needs of the public, Government Agencies and other care providers and clients.

Education (Degree/Diploma/Certificate)

  • Successful completion of secondary school education according to provincial standards or equivalency.
  • Successful completion of:
  • A Medical Office Assistant Program from a recognized College; or
  • The first year of a recognized Health Information Management Professional program required; or
  • A recognized medical terminology course, PLUS one-year of related office experience in a Health Information Services environment, required.

Qualifications and Skills

  • Personal Health Information Act, Protection of Persons in Care Act, Workplace Hazardous Material Information System (WHMIS), Principles of Routine Practices (Universal Precautions) and other legislated acts.
  • Knowledge of the operation of personal computers and software; as well as a multi-function fax/copier machine.
  • Demonstrated effective verbal and written communication in the English language required.
  • Knowledge of medical terminology.
  • Ability to handle a wide variety of clerical assignments within specified time guidelines.
  • Ability to function at a busy desk.
  • Ability to organize work and set priorities with minimum supervision.
  • Ability to communicate effectively, orally and in writing to staff, clients, families, outside agencies and the general public.
  • Excellent computer skills with demonstrated skills in the use of Microsoft Office products (Outlook, Word, Excel) and other computerized database systems.
  • Ability to distinguish colours.
  • Ability to maintain confidentiality in accordance with the Personal Health Information Act.
  • Courteous, flexible, tactful and reliable.

Physical Requirements

  • May be required to work extended hours.
  • Use of VDT. Prolonged physical activities include sitting, standing, bending and stretching.
  • May encounter aggressive and/or agitated patients/residents/staff/visitors.

This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.

The WRHA legal entity includes Churchill Health Centre, Deer Lodge Centre, Grace Hospital, Middlechurch Home of Winnipeg, Pan Am Clinic, River Park Gardens, Victoria General Hospital, WRHA corporate programs, and WRHA community health services.
