What responsibilities will you have in this role?

  • Collaborates with faculty, community agencies, and other departments in the College to locate and contact applicants and students requiring assistance and to arrange group information sessions, presentations, and one-on-one sessions.
  • Screens and evaluates applicant experiences to determine the need and eligibility for programs and college services.
  • Discusses credentials and refers students to appropriate resources as required (e.g., internal college departments or community agencies).
  • Provides guidance for applicants requiring assistance accessing the college system.
  • Supports applicant access to the College through the provision of information, guidance and support and works with other departments in the College to facilitate student transitions.
  • Provides program choice planning for students based on knowledge of college systems, services and programming.
  • Maintains accurate records of student cases, including planning, student goals, action plans, and outcomes of applicant contact through an electronic advising database.
  • Engages with ESL/EAP students providing tailored action-planning guidance and support through one-on-one and group activities and events.
  • Tracks student progress through their programming at the College; actively supports student retention, persistence, graduation and success; creates and implements student satisfaction assessment methods.
  • Creates, generates, tracks, and reviews reports to inform School-level decision-making (e.g., suggestions for new articulation pathways that need to be explored).
  • Collaborates with Divisional program staff to support promotion of programs, effective referrals, and enrollment.
  • Works with programs and service areas across the College to provide awareness of the most accurate information and opportunities for students.
  • Accesses marketing tools and information for college community, students, applicants and interested individual learners within the community.
  • Organizes and participates in community events to provide information and act as the point of contact to support key access initiatives in the community on behalf of the Division.
  • Facilitates and assists in the development and distribution of information on School of ESL and Immigrant Education programs through participation in marketing and information events.
  • Other duties as assigned.

What qualifications do you need for this role?

  • Three-year Diploma or Degree or equivalent from a recognized post-secondary institution in Arts/Humanities/Social Services/Community Services/Counselling or equivalent. ESL training is an asset.
  • Minimum three years’ practical experience in a demanding service environment with experience advising students/applicants in an educational setting.
  • Experience in a lead role in the creation of marketing materials, planning and running information sessions, and conducting outreach activities.
  • Demonstrated ability to screen and evaluate applications to advise on academic upgrading.
  • Experience in providing one-on-one guidance and the ability to assess students for proper referral; understanding of accommodating students with special needs.
  • Experience in collaborating with community agencies and other departments for students requiring assistance.
  • Demonstrated experience in the creation of action plans.
  • Experience in gathering and presenting statistical information on student retention, graduation etc.
  • Exceptional oral and written English communication skills, including report writing.
  • Proficiency in Microsoft applications; strong knowledge of relational databases.
  • Strong time management, planning and organizational skills; ability to meet deadlines and changing priorities.
  • High degree of commitment to customer service, ability to exercise personal initiative and work independently.
  • Excellent interpersonal, analytical and well-developed conflict resolution skills.
  • Demonstrated commitment in delivering excellent service to others as this is key in supporting the success of our students and our College.
  • Strong communication, collaboration, teamwork, and people skills.
  • Effective ability to interact with others and deal with situations in ways that respect diverse backgrounds, lived experiences and communication styles.
  • Flexibility in adapting to change and in participating in consultative decision-making processes.

Hours of Work: 8:30 am – 4:30 pm.
Interview process may consist of a practical skills component.
