One of our Government clients is looking for an IT Project Coordinator (MS SharePoint and JIRA exp)

Length: Contract term is 3 months with possibility of extension

Location: Remote

POSITION SUMMARY

The Frontline Learner Service Transformation (FLST) Program is a large post-secondary transformation program that re-imagines the learner experience. It is one of thirteen strategic initiatives that facilitate the outcomes of Imagine and support our vision. As part of the FLST program, there are four service design projects that include:

Tier 0 – Self Service
Tier 1 – Learner Coaching and Service Intake
Tier 2 – Learner Care and Support
Tier 3 – Shared and Specialized Resources

These design components of this transformation are required to meet business needs and identified strategic benefits to learner services at our organization in the future. Current frontline services developed and evolved over time in response to gaps within the system which has led to an overly complex, difficult to navigate, and inconsistent learner service experience that is progressively deteriorating our brand reputation.

The Project Coordinator assists the FLST Program in conducting the planning, coordination, and implementation of the four above service projects as part of an administrative and management team. This role works within in a complex environment and must understand and integrate the specialty skill sets that make up a Project team, the specialized tools and processes used by these specialists and the various technologies being implemented.

The ideal candidate is a reliable self-starter with experience supporting multiple projects, can multitask, and is versatile and forward-thinking. This role reports to the Technology Integration Manager, providing support to the transformation Project leadership and teams.

DUTIES AND RESPONSIBILITIES

Responsible for contributing to the overall project success assisting the Project team with the administration of the four design project charters
Works directly with the Project team to schedule and plan meetings; develop presentations, and ensure the communications, plans, and program management goals are managed and clearly documented throughout the life of the program and its projects.
Accountable for the Project logistics using institutional tools, standards, and processes to help the Program team ensure that IT projects are successfully planned, initiated, executed, implemented, and completed.
Maintain detailed records of all aspects of the program’s development including reports, contracts, invoices and financial files for quick access and reference to all stakeholders.
Direct project correspondences by preparing, reviewing, and distributing meeting agendas, minutes, emails, reports etc.
Assist the team to capture and update risk/change/decision/issue registries through regular updates, tracking, planning reviews, and quality as per our project management framework.
Support the reconciliation of project budgets working in collaboration with the Program finance representative assisting in reconciliation of any financial instruments such as timesheets and other deliverables
Prepare agendas, and document project status meetings with stakeholders and prepare required program consolidated reporting.
Monitor and ensure issues, decisions, change, and action items are addressed in a timely manner
Work collaboratively with program sponsors, governance committee members, program manager, and project managers.
Conform to the project management institute code of ethics and to all applicable rules, regulations, policies, procedures and to the code of conduct.
Coordination of internal and external project resources as necessary to support the project plans.

EDUCATION / EXPERIENCE

Minimum + 5 years Project Co-Ordinator Experience
Expert Level MS Project, MS SharePoint, and Office 365 suite (including Excel, PowerPoint, MS Teams), Asana experience an asset
Certification or Proven Senior level knowledge in Project Management principles preferred
University Degree or College Diploma in Busines

s Management, Finance, Computer Science or Administration.
Knowledge of business planning, business processes, management, budgeting, and business office operations is a requirement
Strong problem-solving skills, including the ability to take a practical approach to dealing with shifting priorities, demands and timelines
Solid experience with JIRA
Ability to learn, understand and apply new technologies, and techniques
Delivery-oriented and tenacious attitude
Highly organized, self-motivated, self-directed, and attentive to detail
Excellent communication and interpersonal skills are required. These skills must include strong oral and written communication skills, as well as a high degree of tact, diplomacy, and persuasiveness.
Ability to effectively prioritize and execute tasks in a high-pressure environment.
Ability to coordinate completion of multiple tasks and deadlines
