Job description: We are seeking an Operations Manager to take on administration, personnel, governance, IT oversight, and finance support work as part our Administration and Finance team. This is a key position to ensure the seamless operation of the organization and responsiveness to administrative issues. The ideal candidate will enjoy helping their colleagues with their day-to-day operational needs, while maintaining strategic overview and direction. They will be able to work independently, show initiative, and reliably keep track of a variety of activities with attention to detail.

Primary responsibilities:

Office Management & Administration

  • Manage Ecotrust Canada’s Vancouver office and coordinate on management of other locations
  • Respond to administrative needs of staff and CEO, and resolve logistical issues as they arise

· Management of physical and digital records including keeping register, clean up, retrievals

Finance Support

  • Work with the finance team to complete banking and payment/donation processes
  • Keep updated records of donation data

Personnel & Culture

  • Coordinate recruitment processes, including staff orientation/exit activities
  • Monitor and update personnel-related processes and records

· Organize staff social activities (currently virtual) and annual staff retreat

· Manage Health & Safety Committee meetings and processes

Governance

· Coordinate logistics and act as secretary for all board and board committee meetings

· Fulfil government filing requirements and keep board records

· Support ongoing compliance with various government contract/reporting requirements

Information Technology

· Administer IT solutions (e.g. Office 365 suite) and hardware in collaboration with our IT service provider to support daily operations, address staff issues, and meet organization goals

· Drive ongoing work with our IT provider to maintain and update our IT infrastructure

Ad-hoc tasks as required for all of the above areas

Skills and Qualifications

3-4 years of experience demonstrating the following qualities:

· Positive and proactive approach to problem-solving and motivation to take initiative

· Strong organizational skills, including time management and ability to prioritize, reliability, and attention to detail

· Strong interpersonal skills, including clear and kind communication, collaboration, and ability to maintain confidentiality

· Familiarity with Microsoft Office suite (e.g. Excel, Word, Powerpoint, Outlook, Teams, SharePoint) and/or aptitude for quickly learning new computer/internet skills

· Understanding of or willingness to learn about decolonization and reconciliation

Preferred but not required:

· Familiarity with use and/or administration of Salesforce

· Experience with records and information management

· Experience with leading personnel/HR processes, actively supporting people and culture
