In this role, you will:

  • Provide Telephone Protocol Services such as messaging, screening, transferring, conferencing, management of telephone directories, telephone use instruction.
  • Act as Guest Services point of contact including visitor hospitality, employee hospitality, meeting room coordination, meeting facilitation, meeting protocol, visitor screening and security control, signing in and out all guests.
  • Manage Communication Services including courier (Quick Messenger, FedEx, Canada post to include overseas export paperwork), express, postal, electronic, facsimile, tracking and logging mail and courier deliveries including government controlled documents, and creating business processes for the Admin group at all office sites.
  • Coordinate catering orders and of all food and preparation of coffee for meetings as required and clean up.
  • Complete tasks such as online purchasing, hospitality purchasing, employee telephone listings, ordering and proofing, boardroom scheduling, general office assistance, maintain and distribute taxi chits and logs, photographing and preparation of badge for any new hires, coordinating travel and completing expenses for Victoria based employees.
  • Provide document management such as formatting, filing, tracking, creating, archiving, scanning, retrieval and dissemination, populating historical action items, maintaining the Employee Vacation-Travel Schedule
  • Maintain inventory control, ordering of office supplies, facility requests, ordering of kitchen supplies (cleaning & coffee) and keeping both kitchens clean including cleaning out fridges once per month, petty cash reconciliation, perform closing responsibilities, ordering of toner and printer supplies, keep reception & boardroom areas clean and tidy, water plants once per week.
  • Act as technical contact to set up video conference calls.
  • Complete other duties as necessary

As our ideal candidate,

  • You hold a minimum of a High School diploma
  • You are proficient in all Microsoft Office suite applications
  • You have demonstrated knowledge of standard office protocol and professional etiquette
  • You have an ability to communicate effectively with guests and employees
  • You have effective time management skills and ability to prioritize and multitask
  • You are eligible for a Canadian Secret Security and ITAR Clearance
