Job Details
Position Title: Scheduling Assistant
Status: Regular Part-Time Support
Hours per week: 24

Salary: Band 6 (Min) $18.44 – (Max) $28.38
What you will do:
The Scheduling Assistant is responsible for assisting in the production of course timetables, examination timetables, and room allocations. The incumbent will also be responsible for selecting, training, scheduling, monitoring and a team of academic invigilators during final exams, website maintenance, and scheduling form updates. Further, they will also hold primary responsibility for student parking and locker distribution/sales. The Scheduling Assistant will act as a liaison between academic programs, central scheduling, and with staff in Registrarial Services, and acts as a resource to those areas. The incumbent will assist the Central Scheduling and Records Coordinator and act as back-up in the coordinator’s absence including responding to questions about examinations and troubleshooting with relation to on- or off-campus scheduling, examination and grade up-load issues
Academic Scheduling
- Participate in the construction of course timetables for all programs;
- Construction of exam schedules on a semesterly basis
- Assist in the processing of electronic forms which are made available to academic departments for the purpose of collecting timetabling information;
- Facilitate software upgrades and improvements to Infosilem’s Suite and Enterprise systems with both ITS and the Infosilem Support Services.
- Identify and resolve all issues with academic schedules such as, room changes due to increased enrolment and faculty updates that create new timetable conflicts.
- Ongoing timetable modifications including but not limited to late course or section additions, course cancellations, room changes and enrolment adjustments throughout the academic year;
Invigilation coordination
- Provides functional guidance, direction and training to academic invigilators for final exams ensuring appropriate coverage for on- and off-site exams
Parking and Lockers
- Liaise with University of Guelph regarding opening times/dates for parking and locker sales
Room bookings
- Book temporary requests for academic classroom space by students, student groups, academic programs,
Grade Uploads
- Final Grade receipt from instructors, acquiring PH approval and load into Colleague.
Performs other duties as assigned.
Qualifications
What you bring to the role:
Education:
- 2-year diploma or equivalent
Experience and Skills:
Two years experience – Strong experience in computer related applications including ability to understand application interfaces and implications of data transfer and consistency. Excellent problem solving, analytical, and organizational skills for both timetable construction and resolving scheduling & examination changes. Understanding of student information system (Colleague) and scheduling software (Infosilem).
