Our client, a Canadian leader in the field of total rewards, is looking to hire a Senior Administrative Assistant for their downtown Montreal office.

Advantages
– 37.5 h / week
– 3 weeks of vacations ;

– Hybrid telecommuting (2 days at the office and 3 days at home);

– Salary range between 60k$/year and 65k$/year (depending on experience);

Responsibilities
◼ Manage administrative and work requests from analysts, assistant advisors, consultants, senior advisors and associates;
◼ Prepare reports and other documents (Letters, various reports, offer of services, etc.).
◼ Edit and create PowerPoint presentations, Excel charts and graphs, PDF forms, etc. ;
◼ Coordinate and track and make changes to monthly billing;
◼ Organize, coordinate and schedule internal and external meetings (agenda management);
◼ Direct telephone calls, when necessary;
◼ Draft and distribute emails, correspondence notes, letters and forms;
◼ Manage contact lists (CRM);
◼ Submit and run expense reports;
◼ Act as a point of contact for internal and external customers;
◼ Manage multiple projects;
◼ Fill in at the front desk as needed (lunches and breaks);
◼ Respond to inquiries via email, phone, or in person;
◼ Provide technology assistance to advisors in the rooms during meetings;
◼ Provide assistance with room set-up and tear-down when necessary;
◼ Any other related duties related to customer service and counselors;
◼ Provide assistance to co-workers as needed;

Qualifications
◼ A professional degree in office automation or a college certificate in office automation;
◼ At least five years of relevant experience;
◼ An availability to work from our Montreal office, with on-site and remote collaborators;
◼ Experience in a professional firm would be an asset;

Desired interpersonal skills:
◼ Adherence to the firm’s values: excellence, respect, initiative,
collegiality;
◼ Excellent command of Word, Excel, PowerPoint and Outlook (test to be completed after interview);
◼ Bilingualism (English and French);
◼ Customer service skills;
◼ Ability to handle multiple files simultaneously and prioritize well;

◼ Versatility and flexibility;
◼ Organizational skills;
◼ Leadership;
