POSITION SUMMARY:
The National Sales Team is responsible for distributing & educating IG Advisors on capital markets, Investment products, portfolio analysis and construction.
The Senior Administrative Assistant, reporting to the Head of National Sales will be supporting the overall department. This position is responsible for developing and implementing support systems, while operating in a fast-paced, confidential, multi-tasking environment. Additional projects and coverage for other admin team members will be required.
Situations may arise when variations in workloads, periodic responsibilities, or special projects & events may require your support, while supporting the day-to-day operations, will be important.
DUTIES INCLUDE:
- Provide administrative support to the Head of National sales and overall department, including but not limited to the following: Writing/drafting correspondence, responding to e-mails, directing calls and correspondence to appropriate contacts and other areas within the organization, liaising with internal/external contacts, following up and ensuring delegated projects and requests are completed on schedule. Preparation and development of presentation materials, executive briefing materials, statistical reports and/or graphs.
- Completion of expense, system, and equipment requests.
- Develop and manage record keeping systems, both electronic and paper.
- Organize and manage calendars and travel plans, planning all meeting arrangements, including facilities, equipment, catering, preparing and distributing agendas.
- Work effectively with all levels of management/employees/Advisors both in Head Office and the Field and collaborate with other Assistants within the Investment Solutions team and the field.
- Support other team members on an ad hoc basis.
QUALIFICATIONS:
- Minimum 4 years’ experience providing support and coordination of all administrative duties.
- Completion of a post-Secondary education program focusing on general business and/or office administration.
- Highly proficient in Microsoft Outlook, Excel, PowerPoint, Word, MS Teams.
- Accuracy, exceptional organizational skills and attention to detail are key requirements.
- Well-developed communication skills (written and oral) and able to take the initiative to respond intuitively in an appropriate and timely manner. Confidentiality is a key component of this position.
- Ability to prioritize tasks and adjust priorities as needed.
- Must be a self-starter with the ability to work with limited supervision.
- Bilingual (French/English) would be an asset.
- Solid understanding of the financial service industry would be an asset.
- Always proactive with a positive and resilient attitude
- Comfortable working on multiple initiatives at the same time
