Site Administrative Assistant
The Site Administration Assistant provides administrative support in order to ensure that Manitoba Trait & Pipeline Delivery site located in Smart Park, University of Manitoba, is operating efficiently and in adherence to good financial stewardship. This opportunity also supports the site’s efforts towards driving meaningful interactions with communities, environmental stewardship as well as facilitating employee engagement initiatives.
This is a full-time position with Bayer, and the position is located in Smart Park, University of Manitoba.
What you will do:
- Manages the Accounts Payables of the sites by coordinating with accounting, finance, AP and vendors. Supports the Operations Lead and Site Leadership in controlling costs and managing the site’s budget by providing reports and actual vs planned cost analysis.
- Works within the company’s systems to orchestrate purchase orders, service entries, contracts and submission of capital projects.
- Coordinates R&M activities with suppliers or contractors and with the Engineering Lead or Operations Leads, ensuring work is performed according to company standards. Performs supplier audits, maintains vendor documents (contracts, insurance, workers comp, audit reports, etc.). Supports the Engineering Lead in maintaining the site’s CMR program.
- Provides functional alignment for administrative functions. Provides coverage and support for the other site when needed.
- Manages the inventory levels of key supplies (office, growthrooms and laboratory, etc.) based on consumption.
- Champion Planet Impact & Community Engagement initiatives, specifically community outreach for the combined sites. Submit and maintain the site’s environmental records.
- Supports the Site leadership team in organizing and rolling out employee events, activities and communication to increase morale and engagement. Coordinates meeting schedules, room reservation, food catering and calendar management.
- Maintains the SharePoint site(s), MS Teams channel(s) and record keeping as needed.
- Coordinates with the landlord on the upkeep requirements of the facility, and common areas
- Coordinates with global security in maintaining the site’s security systems, including access cards, audits, inspections and maintenance activities.
- Manages and coordinates the maintenance of company vehicles and ensure compliance with vehicle safety program. Maintain the fleet management policy.
- Tracks all site’s assets, including asset tagging, transfers and/or retirement requests.
- Coordinates orientations and facility tours. Prepares the needed materials, schedules, personnel, and supplies for the event.
- Facilitates onboarding for new employees.
Who you are:
- A completed post-secondary education (ideally in business administration, finance, or human resources)
- Administrative experience in a large business/organization/multi-site operation
- Experience directing, evaluating and negotiating vendors for products and services is an asset
- Strong working knowledge of financial/accounting/accounts payable software (e.g. SAP, Source-to-Pay systems, LEPSI, etc.)
- Experience in employee relations and facilitating engagement programs is considered an asset
- Strong English written/verbal communication skills and ability to collaborate between cross functional teams
- Must be a self-starter and is able to work independently and as a team player
- Exceptional organizational skills for multi-tasking and ability to prioritize daily tasks
- Accuracy and attention to detail
- Experience in agriculture, R&D operations, or related field is preferred but not required
- A drivers license in good standing
