We are situated on land where the Bow River meets the Elbow River. The traditional Blackfoot name of this place is “Mohkinstsis,” which we now call the city of Calgary. About the Role
University Advancement (UA) is looking for a Project Assistant to carry out a variety of high level administrative and project related activities to support the division.
This is a full-time limited term position ending February 28, 2025.
Responsibilities
Office Administration
- Prepare drafts of planning documents, proposals, and presentations
- Write draft copy for marketing and communications content, prepare email templates and communications
- Prepare agendas, attend meetings, take notes and prepare minutes for meetings as required
- Coordinate logistics for meetings, including booking of facilities, any required audiovisual equipment, and arranging hospitality
- Collect, enter, update and organize data using excel, UA CRM, and CMS systems
- Ensure appropriate filing and records management (digital and physical)
Project and Event Assistance
- Assist with event logistics support and day-of setup, and marketing projects
- Prepare marketing materials and communications drafts
- Track and manage project-related tasks in Podio (cloud-based PM software)
- Provide support in guest management, including creation of guest lists and creation and sending of digital and/or print invitations, tracking of RSVPs, scheduling of executive leadership, etc.
Executive Assistance
- Manage email correspondence, meeting requests and calendars on behalf of UA leaders
- Research and respond to a wide variety of internal and external emails, requests and inquiries on behalf of the UA leaders
- Liaise with UA staff regarding deadlines, projects, agendas, and other information
- Arrange travel, transportation and accommodations as required
- Write, format, produce and distribute a variety of written correspondence, documents and presentations from rough drafts and/or verbal directions
- Act as liaison with Payroll and Human Resources on behalf of UA leaders to facilitate Human Resource-related processes
Qualifications
- Two-year diploma from a university or equivalent
- 2 – 3 years of experience with high level office administration, and marketing coordination in a complex environment

Salary: $45,992 – $58,244 per annum (Subject to retroactive increase based on Gain Sharing Conditions as per the Government of Alberta)
