Main Purpose & Function
This position is responsible for processing the payment runs for suppliers and employee reimbursements: weekly cheque runs, electronic funds transfers, wire payments and liaises with Treasury Services to ensure payments are issued. The incumbent performs general accounting and monthly reconciliations for Accounts Payable related general ledger accounts and produces monthly and annual reports to meet legislative and external reporting requirements. This position also monitors the status of invoices that have been work flowed to departments to ensure they are processed on a regular basis and ensure performance standards are met.
Specific Duties & Responsibilities
- Process electronic vendor invoice uploads into SAP (consolidated utility bills, Telus, etc), PCard uploads from vendor systems or excel worksheets.
- Process recurring monthly payments including mortgage, lease payments, grants etc.
- Reviews and posts Council expenses and employees’ travel & training claims. Ensure expenditures are recorded appropriately and in compliance to corporate policy.
- Monitor invoices status to ensure they are being regularly processed. Review for any “stucked” invoices and resolve issues so they can be processed.
- Balances, reconciles and troubleshoots technical issues with SAP Team.
- Compiles information and prepares analysis for all APSS Freedom of Information Act requests.
- Collaborates with SCSS to work with vendors to implement standards and efficiency improvements to support more streamlined invoice scanning.
- Assists and works with APSS Clerk IIs, Supply Chain Shared Services (SCSS) and the Business Units as required to resolve any outstanding items or discrepancy (such as price, unit or missing goods receipt etc).
- Reconciles AP balance sheet accounts.
- Prepares year-end working papers for external auditors.
- Prepares, reconciles and analyzes monthly, quarterly and annual reports including the Warrant report, Council expenditures and annual Statement of Financial Information.
- Compiles key performance indicators and statistics and reports out.
- Assists with user acceptance testing for systems upgrades and enhancements.
- Provides work coverage for the PCard Administrator when away
- Other duties/responsibilities as assigned.
Qualifications
Education and Experience:.
- Completion of third year in a professional accounting program such as CA, CGA or CMA program or equivalent training and experience.
- Minimum two years of accounting experience in a mid to large organization.
- Experience working with SAP or a similar complex ERP system.
Knowledge, Skills and Abilities:
- Knowledge of the principles and practices of Accounts Payable accounting.
- Knowledge of legislation, policies, guidelines and procedures.
- Knowledge of the application of Goods and Services Tax (GST), Provincial Sales Tax (PST) and Non-Resident Tax on purchases of goods and services.
- Good oral and written communication skills.
- Good technical and analytical skills.
- Ability to handle work load with frequent interruptions and meet deadlines.
- Ability to prepare various financial statements and reports. Proficiency with Microsoft Office, specifically Excel and Word.
