Term: 12 months
The Accounting Assistant supports the financial and administrative functions of Campus Housing to ensure accurate and appropriate financial systems are in practice and maintained. Ensures accuracy, quality and integrity of department processes as it pertains to financial reporting, invoicing, banking, and data. Responsibilities
Accounting
- Prepares weekly /monthly journal entries for revenue reporting to the general ledger
- Tracks and applies rental payments to student accounts and follows-up as necessary on arrears
- Reconciles Housing accounts on a timely basis. Reviews data entry for accuracy and completeness, assists with investigating discrepancies
- Assists Campus Housing staff with acquiring access to UW Campus Finance systems (Unit 4, Concur)
- Liaises with Student Financial Services, Corporate Finance, and other campus partners to assist in general ledger reconciliations, and resolving student/finance inquiries
- Assists with the preparation of internal financial statements for individual department units
- Assists with the development of the annual department budget and transfer to Finance
- Assists with sending student financial transactions (charges, credits and fines) to Quest
- Manages the department’s Purchasing Card users and records in accordance with university policy
- Supports staff with processing travel expense claims, Concur, and other expense claims as necessary in accordance with university policy
- Assist with the Housing Finance ticketing queue – resolve adjustment and account correction request
- Maintains current and archive filling system for department financial records
- Keeps up to date on all university financial policies and procedures
- Communicates accounting information to colleagues who often have little or no accounting experience, in order to achieve accurate financial accounting and reporting and to resolve issues
Administrative
- Assists with Campus Housing staff inquiries regarding account coding, discrepancies, university policies regarding accounting best practices
- Assists with a variety of accounting projects as needed (for department projects, etc.)
- Provides logistical and practical support and coordination for departmental activities
- Ensures department cash handling processes are followed. Train staff as needed and periodically audit for effectiveness
Other
- Expected to contribute to ongoing continues improvement
- Other projects and duties as required
Qualifications
- A business or accounting related post-secondary program is required
- A combination of equivalent education and experience will be considered
- Minimum 2 years’ experience in an administrative or accounting role.
- Previous experience with data entry and cash handling would be an asset
- Experience working independently and utilizing strong time management skills
- Experience preparing and interpreting financial reports is required
- Proficient with Microsoft Excel and other Microsoft Office applications is required
- Must possess sound knowledge of accounting and financial principles
- Demonstrated ability to interpret policies
- Ability to interpret financial statements and offer advice to colleagues including management
- Excellent interpersonal skills and ability to interact professionally and effectively
- Strong ability to work accurately while managing a high workload and multiple demands on time
- Excellent organizational and time management skill
- Demonstrated ability to handle confidential information with discretion
- A Criminal Record Check is required
