The Role:
We’re looking for a highly-organized, task focused, and enthusiastic individual to provide administrative and client support to our MindBeacon Clinical team! The Administrative Assistant – MindBeacon Clinical will primarily be responsible for supporting the successful onboarding and related follow-up of new MindBeacon clients.
Reporting into our Operations Manager – Clinical Administration, this is an exciting opportunity to work alongside and provide support to the MindBeacon Clinical Administrative team. Located in Toronto but working with colleagues across Canada, we strive to create a supportive and collaborative environment across teams and provinces. An Overview of the Key Responsibilities:
- Provide administrative support for the MindBeacon Clinical team, but specifically in the onboarding of new clients, conducting follow-up for missing information and facilitating clarifying calls between clients and clinicians
- Update client information in the MindBeacon platform and additional client tracking systems
- Track follow-up communications, addressing clients who have not responded to initial follow-up request
- Provide local community resources for ineligible clients, pulling from internal resources and/or obtaining information through Connex Ontario
- Foster positive client relationships through timely email responses, closely monitoring response time requirements
- Maintain strict levels of confidentiality at all times
- Regularly navigate through multiple systems and information sources
- Contribute to a supportive, collaborative, and team-oriented working culture
- Other duties as assigned
The Skills and Experience That Make You a Great Fit for Our Team:
- Proven experience in an administrative capacity, with strong focus on data management and client care
- Strong level of computer proficiency including MS Office (Outlook, Word, and particularly Excel), comfortable navigating between multiple systems – expertly managing information and staying organized
- Superior communication skills (both written and verbal) – client focused with previous experience in a customer service or a client facing role
- Strong organizational and exceptional attention to detail, with the demonstrated ability to take direction and follow established processes
- Able to recognize and appropriately respond to client and team member requests, responding within the necessary deadlines and tracking task completion
- Self-starter; able to work independently but seek guidance as necessary
- Able to work in a fast-paced environment, staying organized, managing multiple priorities and maintaining a “can-do” attitude!
What Sets You Apart from the Crowd:
- Interest or previous experience working in the mental health field
- Previous experience or familiarity with Airtable collaboration software, or a CRM system
- Previous work experience or familiarity Connex Ontario
- Experience working independently, successfully managing time and task
- A positive and energetic approach to work, coupled with a strong customer service mindset
