Job title: Administrative Secretary

Job description: The department of Civil and Resource Engineering, a unit in the Faculty of Engineering, provides an educational experience that prepares students to be successful professional engineers, capable of life-long learning and further advancement studies. Reporting to the Administrator, Civil and Resource Engineering, the Administrative Secretary is responsible for providing secretarial and clerical support to faculty and employees in the department.
Key Responsibilities

  • Maintain a good working knowledge of Department, Faculty and pertinent University policies and regulations in order to respond to a wide range of inquiries from students and faculty members via telephone, email and in-person contact.
  • Assist program coordinator with all matters related to the Undergraduate Program.
  • Provide support by assisting and resolving registration issues and coordinate the Department application process for Undergraduate Programs; maintain student records and monitor student course load.
  • Prepare academic timetable and coordinate undergraduate academic calendar changes; liaise with the Registrar’s Office and Associate Dean’s Office, as necessary.
  • Attend and take minutes at departmental meetings and assist with senior project presentations. Prepare a variety of correspondence, reports, spreadsheets, forms, convocation lists, etc.
  • Co-ordinate and implement departmental events, such as open house, visiting speakers, student events, fundraising activities.

Note

The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Qualifications

Business/Office Administrative diploma and a minimum of three years of related experience (or an equivalent combination of training and experience) is required. Strong computer skills including Microsoft Office (Word, Excel, Access, Power point and Outlook) required. Excellent organization and communication skills required. Ability to multi-task, demonstrated initiative, attention to detail, and previous experience in an academic environment is required.
