Job title: Legal Administrative Assistant

Job description: The Legal Assistant is a member of the Legal Team and reports to the Assistant Corporate Secretary and Senior Paralegal. Key responsibilities of the role include:

CORPORATE

  • Assist with maintenance of general corporate information, including updating corporate summary reports, virtual corporate records books, and corporate structure charts
  • Prepare and make annual regulatory filings and liaising with external corporate records service providers under the supervision of the Assistant Corporate Secretary and Senior Paralegal

COMMERCIAL AND REAL ESTATE

  • Conduct corporate and land searches, as well as other searches, as directed and under the supervision of lawyers and paralegals
  • Assist lawyers and paralegals with preparation of documents, agreements and instruments using templates and precedents
  • Review and provide assistance with bid submissions and bid related documents

ADMINISTRATION

  • Review law firm invoices, code and manage payment with accounts payable department
  • Assist Tax and Finance departments on legal expense inquiries, accruals and audit requests
  • Prepare expense reports and assist in making travel arrangements for the Legal Team
  • Assist with population and maintenance of Graymont’s legal databases (contract, property inventory and intellectual property) and support paralegals with electronic filing systems
  • Provide support to the Richmond Office and Administrative Services Supervisor and Administrative Support Team when needed, including back up reception coverage
  • Maintain the Legal Team Calendar of key deadlines and maintain the Legal Support team task tracker
  • Assist with the maintenance of the Legal Team page on company intranet (myGraymont)

QUALIFICATIONS

  • Legal or business administration certificate or diploma (or equivalent) required
  • 1-5 years’ work experience within an office setting within a corporation or law firm
  • Expert level Microsoft office skills (able to seamlessly format documents, create working template documents, perform mail merges and update spreadsheets
  • Demonstrate high standards of integrity, honesty, ethics, and confidentiality
  • Positive team player
  • In Fall 2022, we will move to a hybrid working model, with the expectation to attend the office in Richmond, British Columbia twice a week.
