What responsibilities will you have in this role?
- Provides administrative and logistical support for Schools events and functions, Schools Meetings, Program Coordinators Meetings, Program Advisory Committees (PAC), College Council and assigned committees/task groups.
- Arranges draft agendas, prepares related background material, process Chartwell orders when required, takes minutes and files and archives meeting documents in the respective electronic filing system.
- Supports Program Coordinators on the administration and archiving of student files and other pertinent documentation. Provides support to academic programs such as orientation, welcome-back, start-up, end-of-term, etc.
- Administers purchasing process of office supplies, instructional supplies and equipment (use of web requisition where applicable). Administers office supplies inventory in the office.
- Identifies, refers, and communicates IT related issues and building facilities issues to other appropriate departments for resolution.
- Maintains up to date information on community Blackboard.
- Assists with Student Advising such us processes grade amendments, course adds/drops, substitution, block registrations, holds, academic standing and resolves CAPP report issues, as needed.
- Other duties as assigned.
What qualifications do you need for this role?
- Three-year Diploma from a recognized post-secondary institution in Office Administration or Business administration or equivalent.
- Minimum two years office administration and customer service experience is required, along with the ability to work in a busy, active work environment.
- Proficiency with Microsoft Office suite, Teams, Zoom, and other online meeting platforms.
- Demonstrated ability to manage online and onsite meetings, taking meeting notes and other meeting logistics in a fast-working environment.
- Attention to details, excellent written and verbal communication skills and customer service skills are required.
- Ability to work with minimal supervision, display good judgment and have excellent problem-solving skills.
- Self-motivated, time-management skills and attention to detail are needed.
- Demonstrated commitment in delivering excellent service to others as this is key in supporting the success of our students and our College.
- Strong collaboration, teamwork, and people skills.
- Effective ability to interact with others and deal with situations in ways that respect diverse backgrounds, experience, and styles.
- Flexibility in adapting to change and in participating in consultative decision-making processes.
Interview process may consist of a practical skills component.
