Position Overview
The Program Team Administrative Assistant will provide administrative support to the Cardiac Sciences & Non Invasive Cardiac Testing Medical Lead along with the rest of the Program Team as required. The incumbent will be responsible for managing appointments and schedules, timekeeping and scheduling, updating website content, monitoring webmaster email, organizing and executing meetings and conferences, recording meeting minutes, compiling statistics and reports, independently responding to inquiries, purchasing processes and a variety of other administrative duties as required.
Experience
- Five years directly related experience.
- Experience scheduling and coordinating meetings with Outlook, Microsoft Teams, Zoom is preferred.
- Experience using WordPress or other website updating platforms would be an asset.
- Experience in preparing financial reports, timekeeping and scheduling would be an asset.
- Experience in generating and maintaining professional social media accounts would be an asset.
Experience in organizing and executing professional business & medical conferences is preferred.
Education (Degree/Diploma/Certificate)
- Completion of a high school or equivalent program of studies; formal training in applied office skills is required.

Qualifications and Skills
- Intermediate proficiency with computerized systems (Microsoft Word, Access, PowerPoint and Excel, SAP) is essential.
- Working experience with Outlook email and calendar is preferred.
- Demonstrated ability to organize, assign and supervise the work of junior employees.
- Ability to record and prepare minutes and agendas.
- Ability to compose correspondence on behalf of senior managers & physicians.
- Excellent communication skills, verbally and in writing.
- Ability to prioritize a large workload and independently complete a variety of administrative duties.
- Ability to work in a fast paced environment and work effectively under pressure to meet deadlines.
- Demonstrated problem-solving skills.
- The ability to establish and maintain good working relationships with individuals from various levels of the healthcare system.
- Demonstrated ability to effectively contribute to a team environment.
- Ability to maintain a high level of confidentiality.
- Medical terminology would be an asset.
- Knowledge of the Manitoba healthcare system would be an asset.

This term position may end earlier as outlined in your collective bargaining agreement
