Job title: Administrative Assistant
Job description: Casual and part-time positions available to support the finance, administrative and Family Respite Centre teams.
To provide general administrative and clerical support and act as back-up relief for admiistrative positions for leave purposes working up to full-time as needed.
No guaranteed hours for casual positions, part-time positions working up to 3 days per week. Monday to Friday 8 am to 4 pm or 9:30 am to 3:30 pm.
Perform reception duties and respond to general enquiries from a variety of external sources, receive and redirect telephone calls on multi-line telephone system. Receive and direct visitors.
Process internal and external mail, email and fax communications. Use postage machine and run regular reports for Accounting.
Collate and process billing information, maintain records, enter accounts receivable in Accpac/Sage Accounting software. Prepare weekly deposits and reports. Create invoices, collect overdue accounts and research and resolve billing disputes. Prepare weekly deposits and reports, manage office petty cash system. Process accounts payable invoices in Accpac and issue cheques for signatures. Process invoices and related monthly reports.
Gather and compile information for statistical purposes. Assist in monthly reconciliations. As required provide support for Meals on Wheels Programs regarding client and volunteer needs.
Provide fundraising and event support by participating in preparation, operation and finalization of events. Maintain Raiser’s Edge to ensure database is updated and accurate. Create monthly reports and generate queries to support fundraising initiatives.
Perform general staffing and timekeeping functions.
Assist with office management regarding janitorial requirements, building maintenance, laundry, office equipment, security, supply ordering, etc.
High school graduation supplemented by post-secondary training in business systems, office systems, accounting courses or a related field.
Two or more years recent related general office experience.
Experience in customer service/working with the public.
Demonstrated computer and keyboarding skills at 50 wpm. Proficient computer skills with MS Office software including Word, Excel, PowerPoint and Accpac/Sage. Database management experience with Raiser’s Edge.
Demonstrated competency in written and oral English. Proven organizatonal, planning and coordinating skills. Demonstrated ability to multi-task, meet deadlines and set priorities. Ability to follow directions and work independently. Ability to operate related equipment and physical ability to perform the duties of the position.
