Job Summary

Reporting to the Director, Finance and Administration, the Financial Assistant provides accounting, finance and office administration related support within the Faculty of Law. Responsibilities include preparing and reviewing financial documents to ensure accuracy, completeness, and compliance with policies prior to submission to Purchasing, Accounting, Research Office, VPAC, Payroll and other departments on campus. The Financial Assistant instructs staff and faculty on policies, procedures, guidelines, accounting forms, etc. as they relate to accounting and purchasing processes.
They regularly monitor operating and specific purpose accounts for Law, as well as oversee Faculty research accounts, reconciling all accounts on a monthly basis and making the necessary corrections.
The position holds signing authority on operating and specific purpose accounts, manages a CCard and administers the Faculty’s cash float.
The Financial Assistant is responsible for preparing and processing web requisitions, journal vouchers, salary reallocations, timesheets, appointment forms, service agreements, contracts, invoices, expense claims, travel claims, professional development reimbursements, bank deposits, delegations of signing authority forms, and requests to open and close FAST accounts.
The Financial Assistant is responsible for coordinating office furniture, telephones, signage, printers, recycling, and janitorial and general facility related requests for the building.
The position supports the mooting program, coordinating mooting team registrations, arranging for travel and accommodations, completing required travel claims and tracking expenses. They also provide administrative support for the Faculty’s bursary program and provide assistance to other areas within Law in a team oriented setting.
Job Requirements
Experience:
A minimum of three (3) years of financial administration experience, preferably at a post-secondary institution, or an equivalent combination of education, training, and experience. Related experience should include completing account reconciliations.
Preference will be given to applicants with:
- Relevant post-secondary education is preferred.
- Experience with UVic’s FAST accounting system; including FAST finance, webreqs, ChromeRiver, JV’s, and Workflow is an asset.
- Knowledge of UVic Finance and Purchasing policies and procedures is an asset.
Skills:
- Intermediate level of accounting skills and knowledge gained through education, training and/or work experience.
- A demonstrated high level of accuracy, attention to detail and proficiency in mathematical skills.
- Excellent organizational skills including attention to detail, time management, and ability to multi-task/prioritize in a fast-paced environment.
- Proven ability to take initiative, problem solve, deal effectively with non-routine matters and coordinate various activities.
- Strong written and verbal communication skills, interpersonal skills, and customer service skills with demonstrated ability to relate well and work effectively within a team environment, as well as the larger UVic community and external agencies.
- A demonstrated ability to learn, interpret, and explain relevant policies and procedures from multiple sources.
- Ability to exercise good judgement in handling highly confidential and sensitive financial material.
- Advanced knowledge of Excel, Word, Outlook, and SharePoint.
