Job description: Our Client, one of Canada’s largest and most successful law firms, has an immediate opening for a part-time Payroll Administrator to join the Finance department in the Toronto office.

This is a Part Time position working 21 hours a week.

Reporting to the Payroll Manager, the Payroll Administrator will play a key role in preparing and reviewing payrolls and verifying the integrity of the payroll system on a global level.

Primary responsibilities of the position include, but are not limited to:

  • Assisting with preparing and reviewing Firm payrolls using UKG Kronos (formerly, Ultimate Software) applying knowledge of multiprovincial labour standards
  • Verifying the integrity of the payroll, including ensuring the accuracy of payroll input and verifying output against various reports
  • Running imports into payroll software and balancing
  • Inputting payroll-related information into UKG (direct deposits and exception pay details)
  • Assisting with processing U.K. and U.S. payrolls for staff on a biweekly and monthly basis
  • Finalizing payroll processes after balancing and loading direct deposits
  • Issuing and verifying manual cheques when required
  • Preparing Canada Customs and Revenue Agency payments
  • Reconciling and remitting payment for EHT monthly
  • Completing records of employment
  • Preparing reports for client charges
  • Completing monthly journal entries
  • Responding to employee inquiries
  • Assisting with annual compensation
  • Assisting with pension and RRSP contributions
  • Calculating termination/severance payments as required, keeping in mind legislative requirements

Qualifications:

Education/Experience

  • Diploma in payroll, accounting or business-related field is preferred
  • Minimum of three years of payroll experience is required; legal institution experience would be an asset
  • Certified (or in the process of being certified) by National Payroll Institute (formerly, Canadian Payroll Association) as a CPP is preferred

Skills/Abilities

  • Strong attention to detail while in a high-volume and deadline-driven environment
  • Strong verbal and written communication skills
  • Ability to multi-task and respond to ad hoc questions and interruptions while meeting deadlines
  • Must have ability to maintain confidentiality and practice discretion in interactions and dealings with others
  • Works well both independently and collaboratively with internal clients
  • Strong computer skills – MS Windows, Excel and Word
  • Ability to handle complex problems and sensitive issues across all offices, such as new hire/termination requirements, special payments and discussions with staff regarding understanding their pay
  • Willingness to research issues that arise, such as adjustments to pays, pension contribution and taxable benefits
