Job description: Overview

Our client in Cambridge is looking for an Accounting and Administrative professional to join their temp in a contract to permanent position!

Reporting to the Chief Operations Officer, this position will provide support to the President and COO, as well as being responsible for all accounting functions, memberships, documents, and office management.

This is a contract to perm role with a starting rate of $21.63/hour and benefits upon permanent hire!

Responsibilities:

Accounting

  • Responsible for the accounts receivable, accounts payable, monthly bank reconciliations, and monthly financial statements and year end.
  • Maintain accurate records for historical data.
  • Track expenses to budget and advise management of percentages to date.
  • Auditing invoicing to events/education /magazine, and any social event that we charge funds for.
  • Set up auto withdrawal for members, manage credit card payments and cheque payments.
  • Review current accounts payable to ensure accuracy.

Membership

  • Collection and maintenance of membership information including website log ins, passwords etc.
  • Liaison with members regarding accounting concerns.
  • Allow/disallow membership benefits in a nonpayment situation, and work to resolve to a positive outcome.
  • Ensure memberships are up to date, and depending on their date of joining, that they are prorated into calendar year end.
  • Sign statutory declarations.
  • Provide membership information from enquiries and develop lists of call backs and follow up.
  • Responsible for posting association events on the website via our CRM platform and coordinating the electronic payment options.
  • Answer and provide input on membership inquiries received through the online chat room.
  • Coordinate virtual meetings and related communications.
  • Assist with organization events such as golf tournaments, to provide administrative support in processing information, updating website, encouraging sponsorship and registrations.

Documents

  • Maintain inventory of construction documents.
  • Respond to all requests for documents.
  • Track amounts charged for documents to maintain a competitive advantage.

Office Management

  • Ensure office supplies are maintained at an acceptable level including all stationary, postage, coffee supplies, etc.
  • Facilitate bulk mailings, and maintain accurate mailing lists
  • Liaison with cleaning staff to ensure a high standard of maintenance of interior of facility.
