Job Summary
Working as a part of the team, the Accounts Payable Clerk is responsible for performing any combination of reviewing, verifying, auditing, reconciling, and posting of a large volume of invoices, requisitions, and expenses in accordance with legislation, taxation, policy and accepted practice on behalf of UVic, its agencies and external granting sources. Issuance of physical and electronic payments maintaining high levels of client service. Ensuring financial data entered and maintained within the accounting system is accurate. Analyzing operating, specific purpose and research account transactions. Use of new tools as technology changes including electronic expense management (Chrome River) and data analytics (ACL). Supporting the review and coordination of international wire payments.
Job Requirements
Skills:
- Excellent verbal and written communication skills in English
- Ability to effectively communicate about financial matters with clients who have varying levels of subject knowledge
- Good interpersonal skills including the exercise of sound judgment, tact and diplomacy
- Organized, detail-oriented and able to employ excellent time management skills to meet deadlines in a high volume office
- Ability to multi-task with continual interruptions
- Self-motivated and able to work effectively as a part of a team in a dynamic work setting
- High level of accuracy in performing calculations, data entry, auditing and reviewing of details
- Good working knowledge of MS Office, integrated accounts payable software (preferably Banner), Outlook and general business equipment
Specialized Knowledge/Education:
- Very good understanding of the application of GST / PST / HST regulations including self-assessment rules
- Strong accounting skills including analysis, reconciliation and foreign currency conversion
- Knowledge of GAAP rules in relation to expense recognition and recording; equivalent to level 1 accounting courses
- Income reporting and withholding requirements under T4A, T4A-NR, NR4 and T5 legislation
- Experience with a variety of computer programs, proficient with spreadsheets and web-based technology
- Knowledge of and ability to interpret and apply relevant UVic and granting agency policies and guidelines
- Experience with ERP systems, electronic reporting tools, electronic expense management systems and data analytic software (preferably Banner, FAST, Chrome River and ACL)
Experience:
- Minimum of two (2) years of experience working in a large organization within Accounts Payable
- Experience interpreting and applying policies
