Job description: Your Opportunity:

The Stipends Program Assistant is a member of the Medical Affairs, Academic Medicine team, which is the administrative arm that supports medical trainees providing clinical services and who are registered with the University of Alberta Undergraduate or Postgraduate Medical Education programs (medical students, resident physicians, clinical fellows, electives). The team serves approximately 910 postgraduate trainees, 340 medical students, 300 postgraduate electives and 700 medical student electives. The support offered to this group includes Human Resources, Access, Finance, Workplace Health and Safety. The Program Assistant is the primary contact for inquiries and all types of correspondence relating to stipends. The Program Assistant in this role reviews and approves timesheets and correction forms for on-call shifts; identifies recipients of additional stipends (chief resident stipends, practice stipends, Northern Living Allowances) to administer payment using Payroll templates, maintains a pager database and other high volumes of electronic/ paper records such as on-call timesheets, pager contracts; and tracks out of province Resident rotations and compile reports to facilitate out of province Workers’ Compensation Board (WCB) coverage. In addition, the position provides cross coverage for other team members as required and completes other duties as assigned by the Manager.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration). Additional Required Qualifications:

Excellent and demonstrated knowledge of Microsoft Office, especially Microsoft Excel, including the use of formulas. Experience in Recruitment Management System (RMS). Experience in timekeeping (ESP and E-People). Minimum of two years senior level administrative assistant experience in relevant health care, large office or human resources setting. Position is a key contact for key partners/stakeholders, advancing skills in customer services, judgment and decision-making. Requires excellent communication, organizational and interpersonal skills with the ability to prioritize assigned tasks and manage competing priorities within defined and often tight timelines within a busy environment. Working knowledge of Alberta Health Services systems and processes is preferred, including familiarity with policies, financial, human resource information systems, contracting, procurement and supply management processes. Preferred Qualifications:

General awareness of Medical Affairs – Alberta Health Services (AHS). Understanding of the University structure specifically the Faculty of Medicine and Dentistry. Also, understanding of Professional Association of Resident Physicians of Alberta (PARA) Agreement.
