Job Description

This position will support MLSE Foundation grant administration and disbursement, as well as administrative and operations support of MLSE Foundation business units. This includes finance & expense administration, grant administration & data integrity, funding disbursement and supporting MLSE Foundation leadership. This role will also work closely with the Community Investment team to support grants, projects, storytelling opportunities, and partnerships in diverse community settings.

  • Support administrative functions across MLSE Foundation, ensuring efficient operation of business units
  • Work with Finance and leadership teams to ensure financial information and expenses are accurately recorded & reported
  • Support grant administration by organizing & maintaining accurate records within grant management software
  • Prepare and distribute grant disbursement material as required
  • Provide leadership support by developing meeting materials & schedules, and supporting ad-hoc requests as required.
  • Keep MLSE Foundation organized by supporting admin tasks such as: expense reporting, scheduling of full team meetings internal merchandise orders, shared calendars, storage inventory, board meeting document preparation and briefing notes.
  • Provide recommendations for the efficient operation of MLSE Foundation business by working collaboratively with team members
  • Work collaboratively with the Foundation team, to ensure donors and community partners are engaged, recognized and stewarded in a timely, personalized and meaningful way that respects community sensitivities.

Responsibilities:

FINANCIAL ADMINISTRATION (40%)

  • Track & process all credit card transactions, expenses, and invoices across MLSE Foundation business units
  • Ensure submission of all monthly MLSE Foundation financial transactions in Concur per financial department deadlines
  • Maintain financial oversight for all MLSE Foundation business units by working closely with Finance teams

LEADERSHIP & FULL TEAM ADMINISTRATION (30%)

  • Schedule and make arrangements for regular leadership meetings including Board of Director, Community Investment Advisory, and MLSE Leadership meetings
  • Compile presentation materials for leadership meetings by gathering updates from relevant team members
  • Conduct follow-up with leadership teams following leadership meetings, capturing & communicating next steps clearly
  • Schedule full Foundation team meetings, trainings as required
  • Provide ad-hoc support on leadership requests as needed, including preparation of presentation materials, email follow-up,

GRANT SUPPORT (15%)

  • Maintain accurate records for all grant recipients within grant management software to allow for accurate reporting
  • Ensure completion of annual grant reports by reaching out to grant organizations
  • Support grant disbursement process by completing vendor payment packages with recipient organizations in a timely manner
  • Support other grant administration efforts and collaborate on grant execution plans as required

CHARITABLE RELATIONSHIP SUPPORT (15%)

  • Maintain relationships & communications with strategic partners while fulfilling partnership deliverables
  • Oversee weekly communications to full Foundation team to gather content leads, marketing requests, Front Office submissions etc., ensuring adherence to submission deadlines
  • Utilize Customer Relationship Management software (Salesforce) to track donation leads and manage donor & partner relationships
  • Maintain accurate and tidy documentation in Microsoft Sharepoint
  • Maintain database of community partnerships & relationships for project support by collaborating with MLSE Foundation and MLSE LaunchPad colleagues
  • Work closely with vendors to execute project work as required

  • Strong written and verbal communication skills, comfortable making presentations and public speaking
  • Strong customer service skills
  • Ability to work within a collaborative, fast-paced, changing environment while applying time management and organizational skills
  • Confident using Salesforce and Microsoft office
  • Community minded and have familiarity in applying anti-oppressive and anti-racist principles, as well as engage in continued learning in these areas.
  • Adhere to all MLSE service standards and policies including Health & Safety
  • Experience in an administrative role or supporting senior leadership.
  • Ability to work evenings and weekends as required to support role and operations
