Job description: Dalhousie Faculty of Graduate Studies (FGS) is the premier Maritime location for advanced study with over 3,500 graduate students in a research-intensive environment who can choose from over 95 Master’s degrees and more than 45 Doctoral programs. Reporting to the Budget Officer, the Finance and Awards Assistant will facilitate the entry of FGS managed scholarship funding into the Graduate Funding Payment System, assist with scholarship competitions, process graduate student thesis conference travel grants and assist with finance activities and other clerical duties as required.
Key Responsibilities

  • Maintain a basic knowledge of policies, procedures and deadlines related to graduate funding and scholarship competitions, as well as Financial Services purchasing policies and procedures that apply to FGS.
  • Enter FGS managed scholarship funding into Graduate Funding Payments (GFP) system using prepared spreadsheet as a guide.
  • Respond to basic email inquiries regarding scholarships and funding using prepared templates.
  • Prepare and process forms and related supporting documentation such as expense claims, student aid requisitions, cheque requisitions, journal entries, deposit advice forms, and purchase orders.
  • Conduct monthly review and reconciliation of FGS operating account ledgers to identify and resolve discrepancies or escalate to Budget Officer when required.
  • Process graduate student thesis conference travel grants and Killam scholar relocation reimbursements using Chrome River application.

Qualifications

Office/Business Administration diploma, plus two years’ experience in a related role (or equivalent combination of training and experience) is required. Data-entry experience, excellent attention to detail and problem-solving skills are vital to this role. Proficiency with Microsoft 365 suite of applications particularly Excel and Outlook, excellent written and verbal communication skills is required. Experience with Dalhousie-specific online applications, particularly the Graduate Funding Payment System (GFP) a definite asset.
